Event technical services: Coordinate technical functions and responsibilities

Event technical services cover planning, full technical production or operating existing systems. The commission depends on the programme, spaces and responsibilities, and may include additional equipment. If you only need to hire devices and will manage the event yourself, use the separate event equipment hire service.

Separate planning, equipment and operation

You can commission a technical plan, full production with staff or operation of an existing system. Full production may include equipment, setup, rehearsals, live operation and removal. Agree the specific tasks and identify work already handled by your team or venue.

Record event, programme and available time windows. Rehearsal, admission, event and removal often need different work. A short performance may require longer technical preparation.

Start with the function

First describe what should be possible. Clear speech, music, presentations and changing stage scenes require different solutions. Known simultaneous audience numbers help without replacing assessment of the space.

AudioSpeech or music, sources and microphone needs.
LightVisibility, atmosphere and desired changes.
VideoPresentations, video, screen positions and playback.
StageKnown area, use and existing construction.
TransmissionAudience, picture/sound and recording or live output.

Use existing equipment sensibly

Name known venue equipment and connections. Even an existing system may need extra cables, interfaces or an operator. Have compatibility and actual availability confirmed.

Describe desired quantities and tasks in one list. An initial request needs no measured levels, load calculations or credentials. Technical uncertainties can be resolved afterwards.

Check space, power and access

Indoor rooms, sheltered outdoor areas and open sites have different needs. Layout, sightlines, weather and neighbours affect planning. The supplier should specify actual space and connections.

Delivery and assembly need approach, carrying, floor and lift information. Coordinate power and safe cable routes. Suspended loads and work at height require specialist planning; an available beam does not automatically permit attachment.

Include rehearsals and operation

Decide who controls microphones, lighting and sources. Setup staff are not automatically present throughout the event. Programme changes, transformations or several rooms may require different staffing.

Agree a test with the intended sources and responsible people. Define arrangements for changes and faults. A fallback must match the commission; uninterrupted operation should not be assumed without agreement.

Compare the complete execution

Compare equivalent functions, times and responsibilities. Equipment, labour and venue services may be charged separately. Check transport and removal before treating a package as complete.

Plan rules and handover early

Sound, lasers, stages and suspended equipment can trigger requirements depending on the setup. Clarify responsible people, necessary notifications and site rules in time. A general technical quote is not an official permission.

Sound issues may also apply without electronic amplification. Have the actual event assessed and record the agreed protective and operating responsibilities.

  • Brief. Describe programme, functions, known quantities and times.
  • Coordinate. Check existing systems, venue, roles and open questions.
  • Test. Test sources, microphones, picture and planned changes together.
  • Finish. Clarify removal, handover and any files or recordings.

Frequently asked questions

Can I hire equipment only?

For devices without continuous event operation, choose event equipment hire. You can request collection, delivery or setup there. If people are needed to operate sound, lighting or video during the programme, request technical services.

Must I specify exact devices?

No. Describe functions and known equipment. The supplier can propose suitable technology and check interfaces.

Is an operator included?

Only if agreed. Give programme and operating times, distinguishing setup staff from continuous operation.

How is a small event planned?

Around tasks, room and programme. A small audience does not replace checks of speech clarity, sightlines and connections. No general minimum event size is assumed.

Can equipment operate outdoors?

That must be agreed around devices, location and weather. Protection, power and safe installation are separate planning questions.

Who handles required notifications?

Responsibility must fit the actual setup and be specified. Audio and special effects have different conditions; a quote does not automatically complete every notification.
