Comparing Swiss fiduciary services: scope, collaboration and costs
A Swiss fiduciary appointment can cover one task or several financial and administrative functions. Businesses need dependable ongoing work and handovers; private clients often need help with a specific issue. Compare clearly described tasks and outputs. The service title alone does not establish what expertise, work or fees are included.
Choose the appropriate scope
Business work may include bookkeeping, annual accounts, tax work, VAT returns and payroll. Other appointments concern formation, planning or specific advice. Select the work actually needed: preparing a tax return is different from managing an entire finance function.
Private needs often concern tax, pensions or estates. Scope and expertise differ from a company appointment. Financial management, discretionary wealth management or a legally required audit need explicit arrangements and confirmation of the appropriate professional competence.
Allocate responsibilities clearly
You may prepare records internally and outsource specialist work, or delegate more of the processing. Establish who supplies information, resolves questions, approves payments and monitors deadlines. Appointing a provider does not replace these arrangements.
| Task | Agree in the appointment |
|---|---|
| Record processing | Who enters, checks and resolves missing information? |
| Accounts / tax work | Which period, reports and submissions are included? |
| Payroll | Specify payroll runs, reporting and changes. |
| Approvals / representation | Define permissions, authority and contacts. |
| Deadlines / queries | Agree dates, lead times and responsibility. |
Assess expertise and working arrangements
Ask about experience with your sector, legal structure and relevant tax cantons. An association, a business with frequent payroll changes and a private client need different support. Clarify your regular contact, cover arrangements and agreed availability.
Check training and references for the actual work. People and firms performing legally required audit services need the appropriate admission. A fiduciary description or association membership alone does not confirm that appointment or every specialist qualification.
Agree how records and systems will work
Clarify the software and whether existing data can be transferred. Internally entered records, bank reconciliation, payroll and reporting require agreed handovers. Digital working does not automatically remove import, checking or correction work.
Agree secure transmission, access rights, storage and return or export of records. Passwords, complete tax files and detailed bank or employee information do not belong in a general quotation request. Supply necessary records later through the agreed channel.
Prepare a useful quotation request
An overview is enough for initial assessment. Mention features affecting the work, such as several companies, foreign currencies, overdue records or a quick changeover. Known filing and handover dates are more useful than an arbitrary target budget.
- Work. Identify the services and work already handled internally.
- Scale. Give approximate record volume and actual payroll headcount where relevant.
- Current position. Describe systems, record readiness, open periods and sector-specific needs.
- Working arrangements. State remote or personal support preferences and known dates.
Compare costs on the same basis
Hourly fees, monthly packages and one-off work differ. Compare included work, covered volume and extras. Documents are not necessarily the same as accounting entries; additional reconciliation and incomplete records can increase the work.
One provider package viewed in October 2026 lists CHF 400 monthly excluding VAT: up to 750 annual entries, VAT returns, accounts, tax return and payroll for one person. Extraordinary work costs extra. This is one indicative example, not a Swiss average or Quoti price.
| Cost item | Compare before commissioning |
|---|---|
| Base fee | Work, periods and covered volume. |
| Setup / changeover | Transfer, review and system changes. |
| Additional work | Catch-up, queries and particular reports. |
| Payroll / changes | People, runs and reporting. |
| Total | Identify expenses, software, third-party costs and VAT. |
Arrange an orderly handover
Changing providers requires more than a few PDFs. Clarify open periods, the latest reconciled accounts, available original data and existing permissions. Previous commitments, competing deadlines and correction work affect the handover.
- Confirm scope. Document services and responsibilities.
- Check the current position. Identify records, outstanding work and data formats.
- Plan the transfer. Agree timing, access and approvals.
- Start working together. Review initial outputs, questions and ongoing routines.
Understand outcomes and limits
Fiduciary support can improve organisation and information for decisions. It does not guarantee tax savings, financing, an authority’s decision or business success. For legal, pension, investment and audit matters, establish which specialist is appointed for which work.
Frequently asked questions
Can I outsource only some tasks?
Yes, for example by preparing records internally and commissioning accounts or tax work. Define handovers, checking and fees; internally prepared work is not automatically usable without review.
Are annual accounts included in a monthly package?
It depends on the offer. Specify accounts, tax return, VAT work, extraordinary corrections and periods. The package name alone does not confirm these services.
Do I need a provider in my canton?
Some support can be remote. Relevant cantonal knowledge, languages and agreed working arrangements matter. Meetings or local work may make a nearby provider useful.
What should I provide in the first enquiry?
State tasks, client type, scale and known dates. An overview of systems and records helps. Detailed financial files, credentials and complete personnel records should be supplied later through the agreed channel.
Can a fiduciary provider also perform an audit?
Clarify it separately for the particular appointment. Legally required audits need the corresponding admission. Check scope and required independence; preparing accounts and auditing them are different tasks.
What matters when changing providers?
Clarify open periods, data export, permissions and responsibilities between providers. Existing terms and upcoming deadlines affect timing. Have transfer and catch-up work costed in advance.
