Finance outsourcing: define the right commission
Finance outsourcing delegates agreed work to a provider. It may cover individual processes or a broader function. A useful commission separates processing, checking and approval and establishes cooperation with internal owners.
Distinguish individual processes and the overall commission
Bookkeeping, receivables, payables, payroll and reporting follow different workflows. Select required tasks only. Temporary relief needs different handover rules from lasting outsourcing. Unselected closure, tax or leadership tasks are not automatically included.
| Area | Clarify scope |
|---|---|
| Bookkeeping | Documents, postings and reconciliation |
| Payments | Preparation, checks and approval |
| Payroll or reports | Distinct data, dates and outputs |
Establish clear workload quantities
Entities, monthly documents and payroll headcount affect effort. Distinguish recurring work from backlog and initial cleaning. Define included volumes and extra-work charges. A package without quantity definitions is difficult to compare.
Establish internal approvals
Agree substantive invoice checks, payment preparation and approval. Processing postings gives no automatic banking mandate. Internal leadership and oversight remain separate. Clarify exceptions, cover and escalation for missing information or unusual transactions.
Check systems before takeover
Software may remain or be replaced. Check import, permissions, interfaces and report formats concretely. Include switching costs and internal preparation. Announced automation does not replace checks of errors, exceptions and missing documents.
Agree data processing and access
Outsourcing personal data does not remove your responsibility. Agree purpose, instructions, protection, subprocessors and locations. Secrecy obligations may require additional checks. Initially send no account statements, payroll lists or tax files; necessary exchange is arranged securely later.
Compare total costs rather than one package price
Setup, processing, extras and ending may be billed separately. Check document limits, corrections, queries, closure work and software. Retained internal tasks also take time. Outsourcing may provide relief without guaranteeing savings or error-free processing.
| Cost item | Concrete distinction |
|---|---|
| Takeover | Backlog, import and setup |
| Operations | Volumes, checks and extra work |
| Exit | Export, handover and access removal |
Prepare service oversight and exit
Define turnaround dates, clear reports and contacts for disruptions. Data needed for access or correction must remain available after outsourcing. Agree export, return and handover at completion. A change should visibly carry forward open invoices, deadlines and responsibilities.
