Event equipment hire: devices, accessories and return
Rental centres on a suitable, complete equipment package for sound, lighting or video. Selection advice, delivery, setup and instructions may be included. Someone must still be responsible for using the equipment during the event. For continuous technical operation or full production, use Event technical services.
Start with the programme
Describe what guests should see and hear: speech, presentation, music, show or transmission. Identify separate rooms and the known onsite audience count. Rehearsal or recording may have no audience; online participants create a separate transmission requirement.
If you already have an equipment list, provide models, quantities and accessories together. Otherwise the purpose, room and programme help the supplier choose a rental package. You do not need to calculate speaker power or signal formats yourself; the supplier checks suitability and required connections.
Specify a complete rental package with accessories
Check the cables, adapters, stands, mounts, controllers and cases needed for each device. A package name does not establish whether microphones, a screen or all connections are included. Identify known existing equipment to avoid incompatible connections and unnecessary duplicates.
Confirm component compatibility and exactly what will be handed over. Collection, delivery and professional setup are different rental scopes. Instructions explain how to use the equipment; they do not replace a person operating it throughout the programme.
| Function | What to clarify |
|---|---|
| Sound | Sources, microphones and listening areas |
| Video | Content, viewing distances and connections |
| Lighting and stage | Positions, installation and programme |
| Transmission | Sources, connections and return audio |
Plan sound and video through to the audience
Room light, sightlines, image size and distance matter for presentations. Resolution alone does not prove that small text will be readable. Coordinate the screen and presentation position with the room.
Match microphones, speakers and any cameras to movement and discussion. Multiple rooms may need additional distribution. Agree a test using the actual intended sources.
Connect transmission and existing equipment
For an online or hybrid event, cameras, microphones, computers and the transmission system must work together. Clarify whether remote guests only watch or also speak, and whether recording is needed. Agree a connection test and identify who handles picture changes, sound and participation. An equipment package does not perform those tasks by itself.
Identify existing computers, outputs and available internet without sending credentials. USB and video connections and cable lengths depend on the layout. Test compatibility and connection rather than assuming unlimited wireless range or flawless transmission.
Coordinate power, mounting and access
Describe indoor or outdoor use, dimensions, available connections and mounting points. Outdoor equipment needs a suitable complete installation, including connections and supply. The supplier clarifies technical uncertainty with the venue.
For suspended equipment, responsible parties coordinate safe mounting and work at height. Identify unloading, carrying routes, doors, stairs and lifts. These are planning facts rather than a request to select technical standards yourself.
Agree handover, operation and return
Arrange collection or delivery early enough for setup and a test before the event. Ask for instructions on functions and safe use. If assembling equipment yourself, establish which tasks are suitable and when qualified staff are required. Use equipment within the agreed scope.
Confirm the rental start, return deadline, packaging and complete accessory list. Agree a contact for problems and any replacement equipment. For continuous programme operation, request Event technical services; being able to contact the rental supplier is not ongoing onsite operation.
Compare the same complete scope
Compare the same devices, quantities, accessories and rental periods. Check whether delivery, setup, instructions and collection are included or charged separately. Collection and return days may affect billing; clarify minimum hire, extensions and late return.
Include applicable taxes and your own collection trips in the total cost. An agreed refundable security deposit is not an additional rental charge; clarify the amount, refund timing and possible deductions. Also check the terms for damage. Unknown costs are not free. Choose the lowest-cost suitable arrangement meeting the purpose and date.

Prepare one coordinated request
Gather programme, spaces, known audience count, functions and existing equipment. Add exact known equipment quantities, dates and access in one common description. Confidential recordings and passwords are not needed for the initial quote.
At handover, check condition, devices and accessories. Test the intended connections before the event and record return and any damage. Responsible parties must clarify permits and local conditions separately; equipment hire is not a general event permit.
Frequently asked questions
Do I already need an equipment list?
Not necessarily. Describe the purpose, spaces, audience and existing devices. The supplier can propose a suitable package; known models and quantities help if you already have a plan.
Can existing venue equipment be used?
When availability, permission, compatibility and operation are agreed. This can avoid duplicate equipment.
Is operation automatically included?
No. Delivery, setup and instructions may accompany a rental. For operation during the event, choose Event technical services and agree staffing and times.
What does a hybrid event need?
Compatible sound and picture paths, a suitable internet connection and someone to operate them. Required devices also depend on whether remote guests only watch or speak as well.
Must I specify technical standards?
No. Describe purpose, site and known equipment; specialists check installation and requirements.
Which time belongs in the quote?
State collection or delivery, setup and test, event times and return or supplier collection. Confirm the billed rental period calculated from those dates.
