Exhibition stand construction: Coordinate the stand concept, components and exhibition schedule

Stand construction combines a presentation space with specific event conditions. A concept, a new build and assembly of existing parts are different commissions. Clear scope makes quotes comparable before ordering or production.

Define the commission clearly

Do you need a concept, a new stand, an update or assembly only? Describe the purpose: products, conversations, demonstrations or a shared stand. Not every task needs an entirely new build.

State the known number of stands. For several areas, describe dimensions and equipment per stand in one brief. Visitor numbers do not replace stand area or component quantities.

Establish area and open sides early

An allocated footprint provides the frame; depth, width, open sides and hall installations affect design. A row stand needs different circulation from an island accessible on all sides. Flag any allocation still pending.

Develop graphics and function together

The stand should support the intended activities. Define display, discussion, storage and technical needs. A closed room or suspended structure may need additional coordination.

Agree design deliverables, views, revisions and approvals. Graphic dimensions, files and rights must be ready before production. An attractive rendering does not yet specify a fully deliverable structure.

Separate hire, purchase and reuse

Hired modular parts may suit one event; owned material may serve repeated appearances. Compare transport, adaptation, care and storage too. Reuse does not automatically remove every later task.

For existing material, identify system, dimensions, condition and completeness. Agree missing parts, new graphics or repairs. Assembly of existing components should not quietly become supply of an entirely new stand.

Cost the complete cycle

Request equivalent area, equipment and dates. A price per square metre says little about graphics, special parts or outside services. Include organiser services and work outside the construction commission in the comparison.

Check event rules before production

The exhibition sets boundaries, heights, dates and permitted work. Agree required plans and approvals with organiser and standbuilder. Another event’s rule does not automatically authorise this stand.

Accessibility, clear routes, suitable material and safe fixing need early planning. Have execution checked against the applicable site conditions. A quote does not replace a required permission or technical assessment.

From brief to handover

Record delivery, installation, show days and dismantling within permitted slots. Name responsible contacts and arrange handover of the finished stand.

  • Brief. Describe use, areas, existing parts and desired supply.
  • Coordinate. Check design, organiser rules and responsibilities.
  • Approve. Confirm dimensions, graphics, delivery and open items.
  • Handover. Record function, completeness, dismantling and later storage.

Frequently asked questions

Can I commission a small stand?

Yes, scope should match the actual area and use. Give known dimensions and compare simple systems with an individual design. No universal minimum area is assumed here.

Do I have to buy the stand?

No. Hire, purchase and existing components are different options. Compare the entire use and later work, including transport and storage.

Is area enough for a quote?

It helps an initial assessment. Open sides, functions, graphics, exhibits and requested work make the quote more precise.

Can existing material be reused?

That depends on condition, system and the new footprint. Have fit and completeness checked and identify additions separately.

Who obtains approvals?

The commission must specify that. Agree plans, submission and organiser communication. Do not assume automatic permission is included.

Are assembly and dismantling included?

Only if offered. Clarify both slots, transport, handling, packing and return. Assembly alone can also be commissioned.
