Poster printing: plan formats, paper and delivery

An indoor poster, a wet-pasted billboard and a backlit image need different constructions. A useful print order states the use, actual quantity per artwork and final format. Production, transport and booked advertising sites are separate costs.

Clarify the intended use first

State indoor use, a protected display case, exposed outdoor posting or a backlit surface. Paper and printing must suit the later processing. An attractive indoor poster is not automatically suitable for wet pasting or illumination.

If a posting contractor or operator receives the prints, obtain its current production and delivery specifications before ordering. The printer should confirm these as the basis of the job. A print-only order does not book public sites or permissions.

Separate final format from the visible area

Give the final format, orientation and any required frame or operator reference. Custom sizes need width and height. A light box may have a visible image area smaller than the physical paper size.

Large posters printed in several parts form one complete set. Important text and image details must not disappear under a frame, at an edge or across an overlap. Use the actual recipient’s template instead of treating similar format names as equivalent.

Allocate quantities by artwork and language

Give the total and allocate a quantity to each artwork, language and size. One common list is clearer than disconnected orders. The count of printed posters differs from the number of booked display sites.

Agree necessary spares and inspection copies with the recipient. Do not apply a universal reserve percentage. Compare the cheapest suitable run including these confirmed extras; a larger order does not automatically reduce the total cost.

Choose paper for the actual processing

Finish, opacity, moisture behaviour and light transmission affect suitability. A higher paper weight alone does not make a poster weatherproof or compatible with every frame. Have open material questions assessed against the use.

Prepare files and approval carefully

An image on a screen does not automatically approve a large final print. Check image resolution at output size, embedded fonts, bleed, safe margins and colour construction against the printer’s actual requirements. A technical check does not replace checking wording and dates.

For critical colours or details, ask what the proposed proof actually demonstrates. An onscreen PDF is generally not a binding colour proof on paper. Clarify rights to use images, logos and text as well; advertising use of recognisable people requires assessment of that intended use.

Plan packing and handover

Agree collection, delivery to you or direct delivery to a named recipient. Several artworks and languages may require separate packing, labels and delivery documentation. Parts of a large poster must be clearly associated.

The required arrival date may precede the posting date. Allow for approval, production, drying where needed and transport. Express printing alone cannot resolve missing approval or an incorrect delivery address.

Compare the complete job

Compare identical formats, quantities, artworks, paper quality and file services. Design, checks, proofs, packing, spares and transport belong in the total. Site rental or posting must remain identifiable as a separate scope.

Choose the cheapest complete execution that meets quality and timing. Unknown shipping, collection and your own file work must not be treated as free. For an alternative material, ask about the practical difference beyond the unit price.

From the brief to checked delivery

Confirm the whole scope in writing and check allocation of the prints before passing them on.

  1. Need. List use, formats, artwork, languages and quantities.
  2. Agreement. Clarify recipient specifications, paper, spares and arrival date.
  3. Approval. Check files, wording and the agreed proof.
  4. Delivery. Check quantities, sizes, artwork allocation and packing.

The short request checklist

Specific quantities and use details support comparable quotes even before the final paper choice.

  • Scope. Counts by artwork, language and size including confirmed spares.
  • Use. Indoor display, wet pasting, display case or backlighting.
  • Files. Available data and requested design or checking.
  • Handover. Location, recipient, packing and required arrival date.

Frequently asked questions

Are printing and posting the same job?

No. Printing produces the posters. Site booking, permissions and posting require an explicit separate agreement.

Which paper do I need?

It depends on use and processing. State the recipient or display system and have the suitable construction confirmed.

Can I combine several artworks?

Yes. List size and count for each artwork and language in one common overview.

Is every PDF ready to print?

No. Format, bleed, fonts, images and colours must meet the chosen production requirements.

How many spares are useful?

Agree the actual additional count with the recipient. A fixed percentage does not suit every posting job or indoor poster.

Is arrival on the posting day enough?

The recipient may need the goods earlier. Agree the required arrival date and allow for approval and transport.
