Photo booth hire: Coordinate output, operation and the complete hire service
A photo booth creates a dedicated photo point. Quotes depend on image output, operating times and support. Guest numbers, captures and printed copies are different quantities and should stay separate.
Choose a photo point suited to the event
An open booth, mirror or enclosed cabin offers a different workflow and footprint. First decide whether you want portraits, group pictures or short moving sequences. Suitable presentation may matter more than a particular casing.
State the known number of devices and their operating times. Several stations can serve separate areas without being necessary at every larger event. Discuss expected demand with the supplier.
Plan digital files and prints separately
Digital-only output needs no paper stock. For printing, specify format, copies per capture and the total quantity wanted. One person may return for several pictures; one group image may need several copies.
| Output | What to establish |
|---|---|
| Digital only | Handover method, file format and access after the event. |
| Instant prints | Format, desired quantity and included consumables. |
| Both outputs | Whether digital files and paper copies share the same design. |
| Other capture type | Availability of video, GIF or particular effects. |
Approve layouts and accessories early
A date, colours or your own logo can often be added to a layout. Agree the draft, revisions and approval deadline. Check readability at the actual print size.
Backdrops, props and guestbooks are separate items. Clarify space, fixing and return. Use only logos and artwork that you are entitled to use for this purpose.
Arrange space, power and handover
Allow room for the device, people, background and queue without blocking routes. Ask the supplier to confirm actual dimensions and connections. An available socket does not answer every operating question.
A sheltered location is not automatically suitable for every model. Agree any outdoor use explicitly. Delivery needs information about approach, floor, lift and carrying; collection also needs transport and assembly instructions.
Compare the full hire package
Compare equivalent periods, outputs and service levels. A lower headline fee may include less paper or assistance. Have open items defined in the quote.
| Component | Comparison question |
|---|---|
| Device and period | How many stations, which model and which hire boundaries? |
| Consumables | What quantities, sizes and refills are included? |
| Customisation | What layout work and accessories are supplied? |
| Logistics | Are transport, setup, removal and collection included? |
| Operation and data | What support, image handover and deletion are agreed? |
Decide image access and later use
Before the event, decide who receives images: individual guests or users of a shared gallery. Clarify storage, services involved, access permissions and deletion. A shared link should not be assumed private without checking.
Inform participants about capture and intended use. Choosing to pose does not automatically allow every later publication or advertisement. Consider minors too. The first quote request needs no guest list or images of participants.
Prepare and return in four steps
Separate the hire period from operating hours. The booth must be ready before the first picture and handed over safely after the last.
- Request. State devices, output, prints, location and the complete time window.
- Approve. Confirm design, position, connections and image handover.
- Test. Check a sample picture and, where requested, a print before the event.
- Finish. Return equipment and props; handle files and deletion as agreed.
Frequently asked questions
Does a photo booth need Internet?
That depends on the model and functions. Suitable devices can capture and print locally; online download or a gallery may need a connection. Confirm the chosen output.
Are prints always unlimited?
No. Ask about the included quantity, refills and support. Unlimited captures do not automatically mean unlimited paper copies.
How much space is needed?
That depends on the device, backdrop and desired group size. People and the queue need additional room. Have the actual layout checked.
Can the booth operate outdoors?
Only if the supplier and model allow the particular location. Rain, moisture, light and wind can affect operation. A roof does not replace this check.
Do all guests see all pictures?
That is an agreed function, not a required part of hire. Individual handover and a shared gallery give different access. Clarify permissions and guest information.
Do we need an attendant?
Self-service may suit the event, but refills, faults and coordination need a responsible person. Compare instructions, support and any on-site presence.
