Event photography: Agree subjects, scope and image use
Event photography documents the occasion under an agreed image brief. On-site coverage and the finished image delivery are separate services. Compare the programme, important subjects, selection, editing and usage rather than hourly rates alone.
Define important subjects and purpose
Decide whether atmosphere, programme moments, groups, portraits or details take priority. A short priority list helps when moments overlap. Internal memories, press images and an advertising campaign may need different subjects and formats.
| Image brief | Important for planning |
|---|---|
| Reportage | Running order, key moments and unobtrusive coverage |
| Groups / portraits | Time window, suitable location and coordination |
| Press / advertising | Priority subjects, formats and agreed use |
Plan coverage time and travel
State days and total coverage time. For several days, places or programme blocks, explain times and travel in the shared brief. One person cannot always fully cover a speech and a simultaneous group photograph.
Have additional coverage assessed against the programme. Travel, waiting, breaks and extensions should be clear in the quote. Event duration is not automatically the booked photography time.
Separate selection and editing
A large capture count is not the same as a large final delivery. Clarify who selects, how many edited images are planned and what editing includes. Basic adjustments, extensive retouching and extra versions can have different scopes.
Ask for a suitable image quantity if it is not yet defined. Agree resolution, file formats and versions for print or digital use. Raw files and every capture are not automatically included.
Plan previews and final delivery
A small selection may be needed before the full delivery. Specify quantities and deadlines instead of assuming universal next-day delivery. Selection, editing and secure transfer take time; agree previews as a distinct scope.
Agree photography and publication properly
Recognisable people are personal data, including in group photos. Agree information, necessary consent and objections for the specific use. A general notice does not automatically resolve individual portraits or commercial publication.
Separate people’s rights from the agreed usage rights in the photographs. Also decide whether the photographer may use images as references. Initial enquiries only need subjects and intended uses, without real guest lists, private images or consent files.
Compare equivalent deliverables
Compare the least expensive suitable overall arrangement for equivalent coverage, image quantities, quality and use. A rate for attendance alone differs from a package including selection, editing and delivery. Unconfirmed usage, travel or express charges are not free by default.
| Item | Check equivalent scope |
|---|---|
| Coverage | Days, hours, travel and additional coverage |
| Image delivery | Edited images, formats and selection |
| Deadlines | Previews, final delivery and priority work |
| Usage | Media, advertising, sharing and portfolio use |
Prepare a short photography plan
State subjects, days, coverage time, place, date and use. Add important timings, other locations, image quantities and delivery wishes in one brief. You need not assess camera specifications; the photographer can check lighting and working requirements.
Confirm the job, approval and delivery
Record scope, price, extensions, changes and cancellation. Agree approval, recipients, access and retention. Check formats, selection and remaining corrections after delivery before publishing images in new contexts.
Frequently asked questions
Will I receive every capture?
Not automatically. Agree selection, edited image counts and formats. Unedited files are a separate possible deliverable.
Is editing included in the hourly rate?
Only if included. Clarify selection, basic editing, retouching and export. Attendance rates alone do not define delivery.
Can I receive a few images quickly?
If agreed and possible. State preview counts and deadlines separately from full delivery.
Is a general photography notice enough for every publication?
No. Individual images, context and use need specific assessment. Agree information, necessary consent and objections rather than assuming blanket permission.
Can I use the images for advertising?
Within the clarified scope. Photographer usage rights and recognisable people’s rights are separate. State media and purposes before booking.
Do simultaneous programme items need several photographers?
It depends on priorities, locations and overlap. Have coverage assessed against the running order; guest numbers alone do not determine staffing.
