Waiting staff: Plan duties, the team and assignment
Waiting staff carry out agreed duties involving food, drinks and guests. You may request a specified number of workers or ask for an appropriate team to be planned. Food, equipment and event organisation are not automatically included.
Define concrete duties
Separate table service, buffet supervision, drinks, setup and washing up. Supervising the assignment is a distinct duty too. A short running order shows simultaneous work and what you or the caterer already cover.
| Duty | Clarify the scope |
|---|---|
| Table service | Courses, table areas and routes |
| Buffet / drinks | Replenishment, serving and clearing |
| Setup / completion | Tables, equipment and agreed cleaning |
Establish staffing needs
State the number directly when you need a specified team. If the provider should plan it, guest numbers, service style, routes and simultaneous tasks matter. A fixed guests-per-worker ratio does not replace that assessment.
Agree whether your own staff participate and who leads the whole team. More workers alone do not resolve unclear handovers between kitchen, bar and programme. Quotes involving several shifts should show who works when.
Separate work time from guest arrival
Briefing, preparation, service and agreed closing work may count as work time. Record start, finish, breaks and possible extensions. For several days or unequal shifts, explain the split in the shared brief rather than automatically multiplying everyone by the same duration.
Choose relevant skills
Table service, drinks preparation, taking payments and team leadership need different experience. Describe the languages actually needed and a practical dress code. Skills should fit the duties; specialist bar work is not automatically included in every staffing booking.
Clarify organisation and responsibilities
Check the employer, contact and person issuing instructions. Commercial staff leasing requires the relevant permits. Whether the arrangement is staff leasing or an independently performed service depends on its actual organisation and agreements, not just the quote’s label.
Record responsibility for induction, workplace safety, changes and absences in writing. Booking staff does not automatically remove all your own duties. The initial request needs no workers’ identity documents, payroll records or personal accounts.
Compare total costs
Choose the least expensive suitable overall arrangement for the same duties, skills and hours. Compare billing units, any minimum bookings and extras. An employee’s wage is not the complete client billing rate.
| Item | Comparison basis |
|---|---|
| Staff | People, roles and billed hours |
| Preparation | Briefing, setup and completion |
| Extras | Travel, clothing, supplements and extensions |
| Coordination | Supervision, changes and replacement arrangements |
A useful task brief
State duties, specified staffing or guest numbers for planning, hours, days, date and place. One shared brief can cover the running order, different shifts, clothing and equipment. Mention open issues without uploading an event dossier.
Confirm before the assignment
Confirm the team, timings, duties, supervision and billing. Agree how hours are recorded, extra work is approved and changes or cancellation are handled. Identify a reachable on-site contact and arrange the final handover.
Frequently asked questions
Can I book a specified number of workers?
Yes, if the provider offers it. State numbers, duties and hours. Otherwise the provider can plan around guests and the running order.
How many guests can one worker serve?
There is no reliable universal number. Service style, routes, duties and simultaneous demands affect staffing. Have the specific plan assessed.
Are food and drinks included?
Not automatically in a staffing booking. Clarify purchasing, equipment and preparation separately or compare a full catering service.
Is there a universal minimum duration?
No. Providers may have their own minimum bookings or fees. State the actual time needed and ask how charges are calculated.
Do I need a team leader?
Clear supervision matters when duties and participants overlap. Check whether you, the caterer or the staffing provider fill that role.
How should absences be handled?
Agree reporting, responsibility and replacement terms beforehand. An enquiry does not guarantee availability or immediate equivalent replacement.
