Bar service: Match the bar, staff and drinks to your needs

Bar service may include a mobile cocktail bar, operation of an existing bar or staff alone. What matters is the drinks and work actually included. Compare the complete arrangement for the same event; a low base charge says little about travel, consumption and additional hours.

Which type of bar service suits the event?

First establish whether there is an existing bar and who will operate it. A mobile arrangement may include a counter and equipment; hiring staff alone usually assumes a usable workstation. Describe existing facilities instead of assuming that the service name includes an entire bar.

Drinks delivery does not replace serving them. Equally, running a bar does not automatically include waiting on tables throughout a meal. Define counter service, welcome drinks, coffee or drinks served around the room, and assign those tasks.

Plan a manageable drinks menu

The number of drinks on the menu does not describe the work involved. Elaborate mixed drinks need different ingredients, preparation and handling from wine or beer. Match the selection to the occasion rather than requesting a very broad menu with unclear quantities.

Alcohol-free drinks can form a complete bar concept. Clarify water, coffee and alternatives to cocktails too. Describe special requirements without diagnoses or named guest lists. Ingredient information and potential contact with allergens can be discussed later with the responsible provider.

Consider guests and service time together

Planning depends on expected bar users and the required service window. A simultaneous arrival creates different peaks from orders spread over several hours. Mention arrivals, breaks and programme milestones so the provider can plan the workflow and suitable staffing.

For a specified staff booking, state the number required. For a complete bar concept, the provider can propose a team. Avoid universal guests-per-bartender rules: menus, serving methods, routes and duties vary. Agree what additional staffing would be possible if the event changes.

Compare drink charging and total costs

Check whether a package includes drinks or only the bar, staff and certain equipment. Other quotes separate a base charge from actual consumption. Have quantities, included hours, taxes and transport set out clearly. Similar package names do not guarantee identical services.

If guests pay directly, pricing and payment arrangements need to be clear. For a host-paid bill, agree who authorises additions and extensions. Supplying your own drinks is only cheaper when purchasing, cooling, ice, glasses, transport and remaining stock are included in the comparison.

Coordinate the workstation and transport

A counter alone may not be enough. Check working surfaces, cooling, water, power, glass handling and waste. State what is known; the provider should explain technical requirements. Not every venue allows the same setup or equipment.

For mobile equipment, vehicle access, setup space, stairs and carrying distance matter. Outdoor use needs agreed weather protection and suitable ground. Clarify permitted clearing and return times so extra journeys or waiting become visible.

Plan responsible service and youth protection

Alcohol service must respect restrictions on supplying drinks. Swiss basic rules distinguish fermented drinks from spirits and mixtures containing spirits; cantonal or venue rules may be stricter. Clarify the applicable requirements and service checks with the provider and venue.

A quote does not establish permits or responsibility for a public event. Agree responsibilities, handling of self-service and prevention of prohibited supply. Identification may be checked at the event; documents should not be collected for the initial bar-service enquiry.

Clarify changes, cleaning and returns

Set when guest numbers and the menu become binding. Changes may affect purchasing, staff or equipment. Agree in writing which changes do not require repricing and who may order extras. An unexpectedly early event finish does not automatically end all agreed working time.

Clarify washing, empty containers, unused stock and damage. Hired equipment needs correct quantities and return condition. Compare cancellation arrangements and weather alternatives too, particularly for a bar planned entirely outdoors.

Prepare a short, useful enquiry

Provide the mobile or existing setup, guest count or specified staff numbers, duration, drinks, location and date. One shared short description can cover the menu, existing equipment and key timings. A compulsory drinks budget or sensitive guest data is not needed for the initial comparison.

Then compare written quotes using the same information. Choose the least expensive suitable overall arrangement that meets service quality and timing requirements. Open drinks or transport charges and your own work need to be included; a package name does not make them free.

Frequently asked questions

Does every package include drinks?

No. Some packages cover only setup, staff and certain equipment. Check drinks, quantities and possible extra charges explicitly.

Can I book bar staff alone?

Yes, if a provider offers that scope. Agree numbers, attendance time, duties and the drinks and equipment already available.

Can the bar service be alcohol-free?

An alcohol-free concept can include mocktails, water, soft drinks or coffee. Match menus, ingredients, equipment and service time to that offer.

Is the minimum age identical throughout Switzerland?

Under the basic rules, beer and wine may be supplied from age 16, while spirits and corresponding mixed drinks require age 18. Cantons and venues may apply stricter rules. Check the requirements for the actual event location.

How are additional hours charged?

Ask about units, rates and authorisation. Clarify whether setup, cleaning, waiting and return travel are additional to your requested service time.

Are your own drinks automatically cheaper?

Only a total comparison answers that. Include purchasing, delivery, cooling, ice, glasses, staff, unused stock and possible provider charges.
