Drinks delivery: Plan ordering, cooling and returns
Delivery covers the agreed drinks and logistics. Serving, bar staff, cooling and event equipment are not automatically included. Comparable quotes need either a specific quantity list or a clear basis for consumption planning.
An order list or quantity planning
For a defined order, state the product, quantity and pack size. For advice, supply guest numbers, duration, the programme and existing drinks. These support planning without guaranteeing consumption. A universal litres-per-guest rule would mix unlike events.
| Ordering basis | Useful details |
|---|---|
| Fixed list | Bottles, cases or kegs with their capacity |
| Advice | Guests, duration, range and own stock |
| Top-up | What is missing and when it is needed |
Agree the range and pack sizes
Plan alcohol-free alternatives and the categories actually wanted. Equal bottle counts can contain different volumes. Compare products, capacities, packaging and return eligibility; a cheaper case of a different size is not an equivalent offer.
Returns need an agreement
Record which unused drinks can be returned. Providers may require complete original packs, particular products or undamaged unopened stock. Opened kegs, damaged goods and specially ordered products may be excluded. A returns arrangement does not automatically allow every leftover quantity to be returned free.
Clarify deadlines, sorting, handling charges and empty containers. Credit for unused drinks differs from refunding container deposits. A shared stock check after the event helps explain the final invoice.
Plan cooling and equipment separately
Drinks are not always delivered chilled. Agree timely cooling and storage. Fridges, dispensing equipment, glasses and furniture may be hired, but connections, setup, cleaning and return also need to be agreed.
Check permitted uses and power requirements for hired cooling equipment. Additional equipment without a suitable position or connection does not solve the issue. Separate dispensing and serving from delivery and equipment hire.
Agree delivery and collection
Define the delivery window, unloading point, vehicle access and route to storage. Ground-level delivery differs from carrying upstairs. Identify a contact for later coordination and check whether collection is included or you will return items yourself.
Compare the complete purchase
Choose the least expensive suitable overall arrangement for equivalent products, quantities, quality and dates. Free transport may still leave energy, handling or collection charges. A refundable deposit ties up money but differs from a final fee. Include your own trips and work too.
| Item | Comparison point |
|---|---|
| Drinks | Products, pack capacity, quantity and consumption billing |
| Logistics | Delivery, carrying, collection and extra trips |
| Equipment | Hire, cooling, cleaning and extensions |
| Returns | Deposits, acceptance terms and handling |
Prepare a clear enquiry
Use one list for products and quantities, including bottle counts and capacities or keg sizes. For advice, describe guests, duration and own stock. Add cooling, returns and delivery timing without payment details or identity documents.
Check handover and final billing
Check quantities and equipment on receipt and agree how discrepancies are handled. Keep unused stock, empties and hired items separate. Confirmed returns and deposit credits should be clear on the final invoice; the actual deadlines and duties are those in your quote.
Frequently asked questions
Can I always return unopened drinks?
No. Returns must be agreed and may depend on products, packaging, condition or quantity. Check fees and special orders too.
Are drinks delivered chilled?
Not automatically. Confirm chilled delivery or enough lead time and storage cooling. Hired equipment may be needed.
Is a deposit an additional drinks cost?
It is paid initially and may be refunded on an eligible return. Separate deposits, final fees and unused-stock credits.
Are glasses and dispensing equipment included?
Only if agreed. Check quantities, hire periods, connections, cleaning, returns and any requirement to buy drinks from the same supplier.
Can the supplier plan quantities?
Yes, if advice is offered. State guests, duration, the range and existing stock; quantities remain an agreed plan.
Does delivery include serving?
Not automatically. Dispensing and bar staff are additional services. Clarify alcohol ordering and later serving requirements separately.
