Choose transport around the passengers’ needs

A service may cover a single journey, a regular shuttle or assistance from door to door. Passenger numbers, luggage, accessibility and the help required all affect the right vehicle and arrangement.

Separate the journey, return and waiting

A one-way transfer ends at the agreed destination. For a return booking, establish whether the vehicle waits or comes back later. A shuttle making several runs needs an operating period and itinerary rather than just two addresses.

For appointments, the latest acceptable arrival time often matters most. Allow for traffic and the journey from vehicle to reception. Airport details such as the flight number, baggage collection and meeting point can be supplied after the initial enquiry.

Plan seats and luggage together

Count everyone travelling, including children and accompanying carers. A vehicle’s seat count does not guarantee room for all the suitcases, a pushchair or sports equipment. Identify larger luggage as well.

Child seats and other seating requirements need advance agreement. A seat supplied by the passenger must suit both the child and vehicle. Group quotes should state whether the service uses one vehicle or several.

  • Seats. Include accompanying adults or carers in the passenger total.
  • Luggage space. Declare suitcases, walking aids, pushchairs and bulky equipment.
  • Access. Check where the vehicle can stop and the route between it and the entrance.

Confirm the assistance included

Help getting into a car, escorting someone to the door and carrying a passenger in an occupied wheelchair are different services. A folded wheelchair in the boot does not replace a vehicle equipped for someone to remain in their wheelchair.

The operator must check access, space and suitable restraints. Discuss steps and assistance at the destination as well. There is no need to provide a diagnosis in the enquiry. Ordinary passenger transport does not automatically include medical supervision or stretcher transport.

Compare the complete journey cost

Operators may offer a fixed price for a defined transfer or charge by distance and time. Compare the same scope: per vehicle or per passenger, one-way or return, waiting included or extra.

Additional stops, longer waits, specialist vehicles, parking and unusual hours can change the price. Ask about included mileage and time, VAT and cancellation terms. Volunteer or subsidised services can have specific eligibility rules; their rates are not a general commercial market price.

Before confirming the booking

Confirm the date, collection time, exact meeting points and a reachable contact. For recurring journeys, agree weekdays, frequency, holiday breaks and changes. Establish who should be notified about delays.

For international trips, have the route and return arrangements confirmed explicitly. Large groups and specialist needs require an appropriately equipped operator and vehicle. Requesting a quote does not yet reserve transport; the confirmed booking determines the arrangement.

Frequently asked questions

Can I organise transport for someone else?

Yes, with their agreement. Establish who confirms and pays for the booking and who can be contacted on the day. Detailed medical information is not routinely necessary.

Is personal assistance always included?

No. A transfer may end at the kerb. Help boarding or escorting someone to reception must be agreed explicitly.

Can the return time remain open?

Yes, if the operator offers this. Check the notice required to call the vehicle back and whether waiting or a second collection is charged.

Are international journeys possible?

Yes, with a suitable operator. Give the departure and destination countries and towns and have the whole journey, including the return, confirmed.
