Plan coach hire around the whole journey
The right hire arrangement depends on passengers, route, operating time and luggage. A short drive with a long wait can use a vehicle very differently from a longer direct transfer.
An itinerary is more than start and finish
Distinguish one-way travel, a day trip with return, a multi-day tour and a shuttle. For a day trip, give departure and return times, stops and whether the coach must remain available at the destination. A shuttle needs an operating window and number of runs.
Navigation time alone is not enough. Boarding, luggage, comfort stops and traffic add time. Longer duties can require different driver arrangements. Have the itinerary checked before committing rather than removing breaks to make it fit.
Passenger numbers, luggage and accessibility
Count everyone, including guides and accompanying adults. A realistic group estimate is sufficient initially; confirm the exact seating requirement before booking. Large groups may need more than one coach.
Cases, bicycles, skis and musical instruments need extra space. Not every vehicle has a trailer or suitable racks. Wheelchair spaces can change the remaining seating layout, so confirm boarding access, restraints and actual capacity.
- Children. Agree suitable restraints and supervision; a child seat brought from home may not suit the vehicle’s belts.
- Equipment. Specify a toilet, air conditioning, microphone and any particular legroom requirements.
- Stops. Check coach access, permitted stopping areas and the route to the meeting point.
How much does coach hire cost?
One published Swiss operator example lists approximately CHF 990 excluding VAT for a coach carrying up to 50 people, for up to 12 hours and 250 kilometres. The hire time runs from departure to return at the depot. Organisation and other supplements are excluded. This is a limited tariff example, not a Swiss average or guaranteed Quoti price.
Compare the total for the same route and duration. Depot travel, parking, tolls, night work, driver expenses and additional drivers may be treated differently. Check whether extra mileage and overtime can both apply.
Only then divide the group price by the actual number travelling. Fewer passengers do not automatically reduce an agreed vehicle price. Ask when passenger numbers can last be changed and what cancellation entails.
Hire with a driver or self-drive?
With a driver, the operator arranges staffing for the agreed journey. Discuss breaks, overnight accommodation and availability at the destination for longer trips. A driver is not automatically an additional tour guide.
Some operators offer self-drive hire. Licence category, any further qualifications, insurance, excess, deposit and permitted countries need checking beforehand. An ordinary car licence is not sufficient for every minibus or coach.
International travel and final arrangements
List all countries and the main stops for international trips. The operator must check the applicable operating requirements. Passengers’ entry documents also need attention, but should not be placed in a public quote enquiry.
Before departure, confirm meeting points, the contact person, timetable, luggage and equipment. Multi-day trips also need hotel access and parking arrangements. Changes en route can affect time and cost and must be agreed with the operator.
Frequently asked questions
Can a small group hire a coach?
Yes. A minibus or midibus may suit the route and luggage, depending on availability. There is no universal minimum group size.
Is the driver always included?
No. State whether you need a driver or self-drive hire and compare offers with the same scope.
Will the coach stay at the destination?
Only if agreed. A transfer and all-day availability require different planning and pricing.
Can I request an accessible coach?
Yes. Declare the wheelchair spaces required. Capacity, boarding and restraints must be confirmed for the actual vehicle.
