Marquee hire: Coordinate area, site and complete cost
A marquee is part of temporary infrastructure. Usable space, installation footprint and assembly work are different. A precise use, known quantities and clearly described site help a supplier quote more than selecting an assumed standard size.
The use determines the space needed
A standing reception needs a different layout from a meal with tables, buffet and dance floor. For a stall or sheltered storage, working space and objects matter instead of a guest count. State the known number of people accommodated at once and other uses.
Ask for a size proposed around the intended layout. A catalogue’s capacity assumes a particular arrangement; it is not a safe occupancy guarantee for every floor plan.
Distinguish covered area from installation space
A known desired covered area is a useful starting point. Guy ropes, anchoring, entrances, walkways and assembly can need extra space. Roof shape, supports and connections between several structures change the usable area.
| Information | Why it matters |
|---|---|
| People and use | Defines seated or standing areas and circulation. |
| Known area and dimensions | Helps selection and identifies site limits. |
| Number and combination | Shows separate zones and desired connections. |
| Free installation space | Must also accommodate fixings, access and assembly. |
| Additional uses | Buffet, stage, bar and storage need space of their own. |
Check ground and anchoring early
Describe grass, gravel, asphalt or another surface. Slopes, soft ground, obstacles and buried utilities can affect assembly. The supplier must choose fixings suitable for the system and site.
Clarify the landowner’s permission and utility information before ground work. Do not anchor or ballast a structure using your own rule of thumb. An internal floor does not replace adequate fixing of the frame.
Specify the equipment needed
Flooring, sidewalls, lighting, heating and furniture are not included in every hire price. A partly open structure may suit the intended use but provides different conditions from an enclosed marquee. Clarify entrances, accessibility and electrical supply.
Heating, cooking equipment and special uses require separate checks of suitability and positioning. Do not select power requirements solely from an available socket. Coordinate equipment and supply around the actual system.
Compare the complete service
The marquee’s hire fee often does not cover all the work. Transport, ground, fixings, assembly and accessories can change the comparison. Request quotes for equivalent use and periods with clearly specified tasks.
| Component | Scope to establish |
|---|---|
| Marquee and period | Model, dimensions, number and installation-to-removal window. |
| Transport | Journeys, vehicle access and unloading at the agreed point. |
| Assembly and fixing | Supplier team, agreed help, ballast or anchoring. |
| Floor and accessories | Area, sidewalls, light, heat and other equipment. |
| Removal | Collection, cleaning and restoration of the site. |
| Changes and risks | Contractual revisions, cancellation, damage and supervision. |
Permissions and weather operation need separate checks
The competent municipality and site determine which permissions or documents are needed. Public land, an event with visitors or a special use can trigger extra requirements. A hire confirmation does not replace an authority’s decision.
Agree permitted use, supervision and action during wind, rain or other weather with the supplier. Keep exits and access routes clear. A marquee is not a guaranteed bad-weather solution; clear responsibilities and, where needed, an alternative place to shelter are necessary.
Check before booking and at handover
Describe use, known quantities, site and the complete time window. Review the proposed system and included work. Confirm access and a responsible contact before scheduling assembly.
- Site. Clarify free area, ground, utilities, obstacles and landowner consent.
- Quote. Check structure, accessories, transport, assembly, agreed help and removal.
- Handover. Record installation, instructions, supervision and weather procedures.
- Return. Arrange access, complete material and agreed site restoration.
Frequently asked questions
What marquee size do I need?
Describe the use, known number of people and additional areas. The supplier can suggest a suitable layout. A flat area allowance per guest does not reliably account for a buffet, walkways or stage.
Can a marquee stand on asphalt?
That depends on the system, site and suitable fixings. Discuss ballast or other solutions with the supplier and landowner. Improvised anchoring is not a safe starting point.
Is flooring included?
Not automatically. Ask about area, finish, substructure, accessibility and assembly. A structure with a floor and one on the existing surface are different hire scopes.
Can we assemble it ourselves?
Only with a suitable system and agreement with the supplier. Clarify instructions, helpers, fixing and handover. Material hire alone does not establish whether self-assembly is permitted.
Do we need permission?
That depends on the location, duration and use. Check with the competent municipality or venue operator. One canton’s or event’s rules do not automatically apply to every private hire.
What happens in strong wind?
Follow the supplier’s system- and site-specific instructions and the agreed safety arrangements. Responsibilities, monitoring and evacuation must be clear. Hire does not provide a general wind guarantee.
