Event venue hire: use, capacity and total cost
An attractive room is not automatically suitable. Layout, equipment, catering, hours and permitted use must fit the programme. A complete comparison shows the spaces and services actually provided and remaining work or extras.
Describe event and attendance precisely
State celebration, company event, presentation, workshop or another use and the exact known simultaneous attendance. Describe programme, meals, music and special areas. An advertised maximum without a layout is insufficient.
Distinguish room-only hire from a staffed event. Clarify individual rooms, outdoor areas or exclusive use of the whole venue. Shared areas with other guests may suit or constrain the programme.
Check capacity against the actual layout
Rows, banquet, standing reception and workshops need different areas. Allow for stage, buffet, cloakroom and circulation. Confirm that intended use fits the venue’s occupancy conditions.
Ask about doors, sightlines, height and ancillary rooms. A viewing or suitable plan helps more than photographs alone. Describe functional access requirements without sharing guests’ health data.
| Use | Space question |
|---|---|
| Banquet | Tables, chairs and serving routes possible? |
| Presentation | Suitable sightlines, sound and speaker position? |
| Reception | Cloakroom, bar and gathering areas available? |
| Workshop | Work surfaces and separate groups possible? |
Define equipment and technical support
Check included furniture, lighting, sound, video, internet and usable connections. An equipment package does not automatically include an operator. Define instruction and who can be reached if problems occur.
Identify your own or external equipment and decoration. Coordinate setup, power and allowed attachments with the venue. An initially empty hall can cost more once furnished than a suitable equipped venue.
Clarify food, drinks and kitchen separately
Clarify in-house catering, freely chosen external catering or your own provision. Kitchen, tableware, staff and cleaning may be separate services. External catering is not always possible without permission or extra cost.
For drinks, check supply restrictions, brought-in stock and consumption or package charging. A low room rent with compulsory purchases may cost more overall. Compare the same provision and known attendance.
Agree the full period and permitted use
Give actual dates and access, setup, programme and return times. Hourly, half-day and daily hire cover different windows. Check early setup, later clearing and extensions before booking suppliers.
Music, outdoor use, sales and evening operation may have particular local rules. Clarify actual conditions and approval responsibilities with venue and responsible authority. The rental contract alone is not general event permission.
Compare all costs and booking terms
Compare the same use, layout and period. Add furniture, equipment, catering, staff, cleaning, taxes and your work. A national average mixing empty halls, restaurants and staffed packages would not help.
Check minimum spend, deposit, changes, cancellation and binding attendance in the offer. A request or option is not necessarily a firm reservation. Choose the cheapest suitable scope with confirmed availability.
| Cost item | Comparison |
|---|---|
| Spaces and period | Exclusivity, access and full period included? |
| Fittings | Furniture, equipment and support clear? |
| Provision | Catering, drinks and kitchen comparable? |
| Return | Cleaning, damage and cancellation explained? |
Prepare viewing and booking
Prepare purpose, exact attendance, layout and preferred date. Combine equipment, spaces, catering, exclusivity and access needs. Specific alternative dates help without assuming availability.
View if useful, confirm scope and terms in writing and check handover and return. Responsibilities for keys, equipment, suppliers and damage should be clear before the event.
