Prepare initial letting from project planning to occupation
Initial letting connects project information, marketing and tenancy start. Clear responsibilities help coordinate documents, viewings and availability.
A project brief beyond a single listing
The project may involve one new unit or a larger residential, commercial or mixed scheme. Major renovation can also require renewed project marketing. Define the support wanted: strategic preparation, selected tasks or help through to tenancy agreements.
Reletting an existing apartment and marketing a whole new development involve different workloads. Identify the homes or commercial units concerned. Parking and ancillary rooms can be included without mistakenly counting them as additional homes. Ongoing management afterwards is a separate service scope.
Explain rent strategy and target audience
Discuss location, uses, layouts and equipment with the business. A reasoned rent strategy explains differences between units rather than applying one price per square metre everywhere. Expected demand is an assumption, not assurance that all space will be let by occupation.
Present net rent, additional charges and separately rented ancillary spaces clearly. Commercial and mixed projects also need fitted-out condition and intended use considered. Have tenancy terms professionally assessed; a marketing concept alone validates neither every price nor every contractual provision.
Prepare consistent project information
An unfinished project can already be prepared and presented. Available plans should reflect its current state. Identify visualisations as planned conditions rather than completed construction. Carry changes through all materials in use.
- Units. Present planned homes or commercial units with types, known areas and identification.
- Equipment. Describe known fit-out, included equipment, ancillary space and parking.
- Dates. State planned availability and possible stages; communicate uncertainties.
- Decisions. Coordinate rent schedule, document approval, contacts and open questions.
Coordinate marketing with construction
Advertising start and tenancy start are different dates. Early presentation can use plans, while viewings need suitable agreed arrangements. Coordinate accessible areas and reliable information for interested tenants with the construction and marketing teams.
Phased completion needs distinct availability dates. A project calendar, feedback and updated information help avoid conflicting commitments. Ask how delays and additional appointments are handled rather than assuming a guaranteed full-letting deadline.
Organise applications and contracts
Define who handles enquiries, viewings, applications and approval of tenant selection. For residential applications, collect only data needed for the purpose and stage concerned. Access, applicant information and handling of records no longer needed belong in the agreed process.
Contracts, additional charges and responsibility for questions need consistency. For housing, official initial-rent notification requirements should be checked against the location and current cantonal conditions. New construction or project marketing does not replace that assessment; commercial space and housing should not automatically be treated alike.
Separate rent from professional fees
Future tenants’ rent is different from the marketing business’s fee. Compare tasks, fee basis, payment triggers and VAT. Concept, presentation, advertising, viewings and contracts may be offered in a package or as separate items.
Unit numbers and variety, available records, project stage and desired support affect the work. Clarify extras for changes, longer marketing or additional phases. A percentage for ongoing property management is not automatically a suitable tariff for a one-off initial-letting appointment.
| Item | Clarify when comparing |
|---|---|
| Preparation | Analysis, rent strategy, records and presentation. |
| Marketing | Channels, listings, project presence and separate expenses. |
| Letting | Viewings, applications, contracts and fee basis. |
| Changes and total | Additional appointments, phases, VAT and exclusions. |
Separate handover from later management
Signing the tenancy agreement does not necessarily finish the brief. Clarify whether tenant handovers, condition records and transfer of tenancy documents are included. Construction acceptance, defect correction and ongoing management need the appropriate responsible parties.
| Task | Useful boundary |
|---|---|
| Initial letting | Preparation, marketing and agreed support for new agreements. |
| Tenant handover | Appointments, condition, keys and records as agreed. |
| Construction and defects | Coordinate construction supervision, acceptance and corrective work separately. |
| Ongoing management | Define rent administration, maintenance and support after the appointment ends. |
A clear sequence for everyone involved
A shared process connects the owner, project team, marketing and future management. Record decisions and outstanding questions. Large enquiry numbers or early advertising do not guarantee signed agreements for every unit.
- Define. Identify units, use, stage and support.
- Approve. Coordinate rents, current documents and communication.
- Let. Handle enquiries, viewings, applications and contracts.
- Hand over. Set out occupation arrangements, records and next-stage responsibilities.
Frequently asked questions
Can I enquire for only a few units?
You can ask for help with a single new unit. Scope depends on records, your own workload and desired tasks; no general minimum size applies.
Can I enquire before construction finishes?
Yes. State the known stage and intended occupation. The business can adapt preparation and marketing without every technical detail already being fixed.
Is ongoing property management included?
Not automatically. Initial letting and later management are different tasks. Clarify appointment end, record transfer and any separate management contract.
Do rents need to be fixed already?
No. You can request rent strategy and marketing advice. Future tenants’ rents can then be professionally assessed for the project.
How does phased occupation work?
Units and their likely dates need to be separately identifiable. Agree who communicates changes and coordinates viewings, contract dates and handovers.
Is full letting guaranteed by occupation?
That cannot be promised generally. Check strategy, services, reporting and conditions for longer marketing. Rental interest is not yet a completed agreement.
