Market commercial space with a clear letting instruction
Use, equipment and handover need to suit the future business. A clearly defined instruction helps you compare marketing, negotiations and the specialist support required.
Separate letting, sales and the business
This is an owner-side service: market premises, handle enquiries and support the lease agreement. A company searching for its own location needs different representation. Letting premises does not automatically transfer the business, its inventory or customer relationships.
Agree whether you need a complete instruction or selected tasks. Rent strategy, letting particulars, viewings, negotiations, lease preparation and handover can be separate services. Ongoing management and fit-out works are included only if expressly commissioned.
Describe space and use clearly
Offices, shops and production premises cannot be compared on floor area alone. Explain existing use, layout, known equipment and material limitations. For several units, retain the different characteristics of the individual spaces.
| Space type | Useful marketing information |
|---|---|
| Office | Layout, work and meeting spaces, access and existing equipment. |
| Retail | Customer access, visibility, storage and current fit-out. |
| Storage or production | Vehicle access, known loading facilities and operational features. |
| Hospitality or mixed space | Existing installations, different uses and matters still to clarify. |
Separate fit-out condition from suitability
Shell space, partially fitted premises and ready-to-occupy rooms are different offers. Record what equipment is handed over and which works remain. Who completes the fit-out, who pays and in what condition can use begin? Resolve these matters before a binding commitment.
A listing does not itself authorise a proposed use. Building conditions, operational needs and required permissions need assessment by the relevant specialists and authorities. Existing information helps; you do not need to measure load capacity yourself or certify technical suitability.
Tenant alterations need clear written arrangements. Consent, costs, maintenance and any return or reinstatement agreement should be considered together. An approved alteration does not automatically have to be removed at the end.
Prepare documents and responsibilities
Letting particulars should separate known facts from assumptions. Existing documents are a useful starting point without requiring every specialist assessment before an initial discussion.
- Areas and plans. Record layout, known areas and measurement basis; identify shared and ancillary space.
- Condition and equipment. Gather current photographs, fit-out description, installations and outstanding works.
- Availability. Explain occupation, planned departure and possible handover; a target date is not a promise.
- Instruction decisions. Agree approvals for advertising, applicant selection, negotiations and signing.
Consider the complete lease terms
Monthly rent, annual rent per square metre and gross amounts become comparable only after conversion and clarification. Ask about the area basis, net rent, service charges and separately charged equipment. Fit-out and business-start costs should not be silently included in the same figure.
Term, renewal possibilities, handover condition and agreed security affect use as much as rent. Negotiations need clear authority and professional lease review. Tax treatment and VAT need assessment for the particular case, rather than being assumed from residential letting.
Interested parties’ documents should go to responsible people for the necessary assessment. Confidential business information does not belong in public listings. For an operating business, agree which information can be disclosed first.
Compare brokerage and marketing costs
A national percentage without the instruction, property and fee basis would be unreliable. A full instruction and selected negotiations may be charged differently. Separate the professional letting fee from rent and fit-out costs.
| Item | Clarify before appointment |
|---|---|
| Professional fee | Fixed fee, time or success fee; calculation basis and payment trigger. |
| Marketing | Particulars, photographs, channels, campaign period and additional expenses. |
| Viewings and negotiations | Included appointments, travel, documentation and additional work. |
| Specialist assessments | Contract, technical or tax advice included or separately commissioned? |
| Instruction termination | Fees on cancellation, exclusivity, duration and expenses already incurred. |
Define handover and continuing support
Signing, the business moving in and fit-out completion may happen on different dates. Coordinate keys, handover record, outstanding works and responsibilities. Occupied premises need agreed access; a letting instruction does not provide unrestricted entry.
Document the equipment and condition handed over. Letting does not replace a technical construction inspection or ongoing management. In mixed properties, homes and business units may need different specialist and contractual treatment.
Four steps to a suitable instruction
Compare quotes for the same property and the same expected work.
- Explain the starting point. Identify space type, extent, fit-out and availability.
- Discuss the approach. Clarify target occupiers, marketing, negotiations and specialist interfaces.
- Agree the instruction. Set fees, expenses, authority and termination in writing.
- Coordinate completion. Align agreement, handover and works; expressly agree any ongoing management.
Frequently asked questions
Does this cover finding premises for my own business?
This service concerns letting from the owner’s perspective. Your own location search needs a search instruction or tenant representation.
Can unfinished space be marketed?
Yes. Clearly describe condition, remaining work and responsibility, and agree these before completion.
Do I need to know the exact technical suitability?
No. State known features and proposed use. Relevant specialists carry out the necessary technical or authority checks.
Are tenant fit-out and reinstatement always included?
No. Works and financing are separately agreed, as are consent, maintenance and eventual return.
Can I commission only negotiations or lease preparation?
Yes. Explain the tasks and any existing interested parties without publicly sharing confidential personal files.
Is full letting guaranteed?
No. A suitable strategy supports marketing but cannot guarantee appropriate demand, suitability or concluded agreements.
