Exhibition stand hire: area, fittings and scope boundaries

A rental stand provides structure and agreed fittings for a limited use. The structure does not automatically include exhibition space or a complete exhibition presence. A clear request separates the stand, graphics, technical connections and organisational work.

Describe purpose and stand function

Distinguish information, discussion, sales and demonstrations. List known exhibits, work positions and furniture counts together. Allow space for visitors and staff as well as displays.

For repeat use, describe dates and possible area changes. Modular systems may adapt, but each layout and graphic change needs an agreed quote. Reuse is not automatically possible without additional work.

Clarify area and open sides

Give known area, width and depth. Row, corner, head and island stands differ in open sides and visibility. Check existing walls, pillars and usable dimensions rather than booked square metres alone.

If space is not fixed, say so during planning. Ask for a suitable structure and fittings. The quote must not treat unconfirmed exhibition space as already booked.

Compare package contents clearly

Structure, floor, lights, furniture and signage may be bundled or separate. Check each required item and exact count. Space, power orders and cleaning may remain outside an apparently complete package.

For your accessories, clarify attachment and compatibility. Do not alter a rented system without agreement. Include storage, doors, display surfaces and equipment in the same selection.

Coordinate graphics and approval early

Clarify existing graphics or new design and printing. The rental system and graphics may have different ownership and return terms. Agree reuse, storage and handling of custom prints.

Confirm print dimensions, visible surfaces and approval date. The first request needs scope and data readiness, not confidential uploads. Approval after production begins may make changes more expensive.

Consider the actual exhibition rules

Height, boundaries, attachments, materials and demonstrations depend on the hall and event. Have applicable documents and required approvals checked. A rented stand is not automatically accepted at every venue.

Coordinate power, data, water or suspension orders with organiser and supplier. Define who submits plans and orders services. A product description replaces neither responsibility nor current venue checks.

Allow for complete transport and setup

Self-assembly, delivery only and ready handover involve different work. Give delivery windows, approach, hall access and removal times. A tool-free system does not guarantee every stand can be assembled without instruction or helpers.

Consider empty crates, packing, temporary storage and return transport. Agree a check before opening and complete return. Damage or alteration to rental parts follows the agreed terms.

Cost the complete exhibition scope

Compare equal area, fittings, graphics and period. A per-square-metre structure rate is not equivalent to a package including exhibition space. National prices mixing different models would be unreliable.

Add design, printing, exhibition services, both journeys, installation, taxes and your work. Check deposit, cancellation, extension and storage. Choose the cheapest suitable total arrangement meeting actual rules and dates.

Prepare a clear rental request

Prepare exhibition, dates, known area and open sides. Combine function, exhibits, exact known furniture counts and graphic readiness. For several stands or uses, provide allocation and periods in the same description.

Confirm drawing, scope and responsibilities before production and booking. Check handover before opening and coordinate return after closing. Rented, purchased and separately ordered elements stay identifiable.

Frequently asked questions

Is exhibition space included?

Only when explicitly offered. Check the rented structure and booked space separately.

Can I assemble the stand myself?

Depending on system and agreement; clarify transport, instructions and venue conditions first.

Are graphics automatically rented too?

No. Agree design, printing, ownership and reuse separately.

What do corner and island stands mean?

They differ in open sides. The actual layout determines a suitable structure.

Is a rented stand accepted everywhere?

No. Have the actual exhibition’s current conditions and any approvals checked.

Does hire suit repeated exhibitions?

Compare the whole series with graphic changes, transport and storage, not only initial hire.
