Linen hire: product range, circulating stock and costs

Linen hire combines textile supply with agreed care and transport services. Ongoing hotel supply and table linen for one event follow different processes. Required items, the hire period and return arrangements matter; washing your own linen is a separate commission.

Ongoing supply or limited hire?

An ongoing operation needs clean linen, used items and reserves to circulate together. For an event, availability on the required date, the full hire period and complete returns matter.

Private celebrations and temporary accommodation may also need hired linen. Not every supplier accepts every customer type or small quantity. Confirm delivery area, minimum requirement and possible self-collection before ordering.

Distinguish individual bed and bath items

Duvet covers and pillowcases are not the duvets and pillows themselves. Sheets, fitted sheets, hand towels, bath towels and bath mats have different dimensions and purposes. A bedding set is specific only once its contents are defined.

Give known bed, duvet and pillow sizes. A standard cover does not automatically fit every mattress or blanket. For different rooms, assign items and quantities; not all technical dimensions need to be known at the first request.

Choose table linen for table shape and appearance

Round and rectangular cloths, napkins, runners and covers are separate items. Table dimensions and the desired drop affect the choice. Guest count alone does not establish cloth quantity or size.

Agree colour, material, format and visible quality. Samples can help with larger or regular orders. Furniture hire, linen and laying tables are separate services unless expressly offered together.

Assign quantities and reserves to the items

Assign piece counts to each item. One total combining covers, towels and napkins provides little useful detail. Where planning is still open, describe the requirement; final orders are established with the supplier.

Ongoing stock must cover the time between collection and return. Changes, occupancy, seasonal peaks and unexpected demand affect the reserve. Ask how unused stock and quantity changes are charged too.

Agree cleaning and return arrangements specifically

Clarify whether cleaning is included and what soiling is accepted. Particular stains, damage and losses may be handled differently from normal use. Do not wash hired items yourself without knowing the instructions.

Clean and used linen need appropriate separate handover and storage. Medical practices, care and other particular uses need agreed processes and evidence. Clean rented linen is not a blanket promise of sterile textiles.

Coordinate delivery, use and collection

Agree delivery before use and collection afterwards. The event day need not be the entire hire period. Allow for preparation, weekends and the agreed return deadline.

Delivery to the building, carrying to the linen store and distribution to rooms are different services. Making beds or cleaning rooms is not automatically included. Give the handover point, floor and particular routes; self-collection needs a suitable location and opening times.

Compare rental prices with the complete scope

One published Swiss offer lists CHF 18 for a white cotton tablecloth of 170 cm diameter for one hire day, including cleaning and preparation, excluding VAT. Transport and the price for the actual longer period need separate clarification. This is neither an average nor a complete event or hotel supply price.

Compare the same items, quantities and periods. For ongoing supply, charging per item, processing or agreed package, minimum stock and contract duration matter. A washing price for owned linen is not a complete rental price.

Check surcharges, missing pieces, damage, extension, notice and end-of-contract return. A free quote request does not itself conclude a linen rental agreement.

Frequently asked questions

Can I hire linen for one event?

Yes, suitable offers exist. Availability, period, minimum requirement and return depend on the supplier. Ongoing supply is not automatically the right event arrangement.

Does bed linen mean a complete bed?

No. Covers, sheets, duvets and pillows are separate items. Have the set contents and suitable dimensions recorded explicitly.

Must I give the whole accommodation area?

Not for linen hire alone. Items, counts, sizes and changing needs are more useful. Additional room cleaning is agreed separately.

Is cleaning always included?

The quote needs to specify this. Check normal use, particular stains and return instructions. Included cleaning does not automatically include transport or damage charges.

Can I collect the linen myself?

Where the supplier offers it. Clarify location, opening hours, space needed and return. A quote request does not require a supplier app.

Are making beds or laying tables included?

Only if expressly agreed. Textile supply and processing are distinct from work at the place of use.
