Forklift hire: clarify use, rental period and total cost

A hired forklift can cover breakdowns, seasonal peaks or a temporary project. The daily or monthly rate is only part of the comparison: suitability, transport, start and end, service and damage terms also matter. An enquiry establishes possible arrangements without confirming availability, delivery or extension.

Describe the hire requirement and vehicles

Give the exact count and tasks: transport, storage, loading or special loads. Multiple vehicles may need different periods and specifications; list requirements per vehicle or group. Available equipment must fit the requirement. A replacement is not suitable solely because it has the same nominal capacity.

Distinguish calendar duration from operating use

State the required start and planned return. Describe short partial use accurately; the supplier confirms billing units and minimum charges. Calendar duration and operating hours differ. Check included hours, excess use, weekends and extension or off-hire deadlines. Continuing use should not be assumed free.

Check loads, lift height and environment

Provide weights, dimensions, required lift and routes. Attachments and load centre can change usable capacity. Racking also needs truck clearance and aisle width; yards need ground and ramp assessment. Indoor, outdoor and special environments cannot be inferred from the power type alone. Confirm the actual rental configuration is suitable.

Plan delivery and collection

Compare delivery and collection with possible customer collection, including suitable transport and time. Clarify access, unloading, windows and the site. Self-collection needs transport suitable for the truck. For electric models, define charger, connection and return charge; for combustion models, agree fuel and refuelling.

Separate operation, support and damage terms

Equipment hire does not automatically include an operator. Training and workplace instruction are separate. For faults, define reporting, repair responsibility and possible replacement. Check damage cover, excess, exclusions and attachment responsibility. A service package is not unlimited insurance or a guaranteed replacement truck.

Compare the appropriate total price

Compare the same period and configuration. Add both transport legs, surcharges, support, agreed cover and return costs. Check excess hours, cleaning, energy and late return. A low daily rate with two transport journeys may exceed another total quote. Packages and billing units differ, making a general market average unhelpful.

Document handover and return

At handover, check model, attachments, visible condition and meters. Agree damage reporting and safe parking until collection. Return the truck, keys, charger and accessories with outstanding items recorded. An enquiry is not an off-hire notice. Ensure the hire end and collection date are confirmed clearly.

Frequently asked questions

Yes. Describe the actual need; availability, minimum billing and transport must be confirmed.

Is an operator included in the hire rate?

No. Have both journeys, windows and possible extra charges shown.

Does service cover every damage claim?

No. Check maintenance, damage cover, excess and exclusions separately.

Can I extend the hire at short notice?

Subject to confirmed terms and availability. Clarify deadlines and the new total before continuing use.

Which details help the first enquiry?

Count, loads, lift, environment, period, known site and transport; list any per-vehicle differences together.
