Event decoration hire: Agree the hire scope, logistics and costs
A hire order may cover a few candle holders or a coordinated collection for several spaces. A useful quote needs a concrete item list rather than only a guest count. Keep hired objects, consumables and additional work separate.
Separate hired objects from decoration services
Hire provides existing items for an agreed period. These may include vases, lanterns, textiles, backdrops, sign holders or decorative props. Design work, floristry, personalised lettering and assisted setup can be additional services.
If the design is still open, state the occasion, spaces to decorate and preferred colours. Ask for a specific item proposal with quantities. An inspiration image does not replace an inventory or an agreement about the work included.
An item list makes quotes comparable
List the quantity of each item type and any known dimensions. Distinguish small table vases from floor vases, or a freestanding backdrop from fabric that needs fixing. Holders, stands, weights and packaging may be just as necessary as the visible decoration.
| Information | Why it matters |
|---|---|
| Item and exact quantity | Avoids confusing a set price with the price of individual pieces. |
| Size, colour and finish | Allows a suitable selection and clearly identified alternatives. |
| Area and placement | Shows which tables, entrances, photo areas or rooms need decoration. |
| Accessories and consumables | Separates reusable hired items from flowers, candles and lettering. |
| Existing equipment | Avoids duplicate orders and identifies the additions needed. |
Include handovers in the hire period
The event day is not necessarily the full hire period. You may need material during preparation and return it only after dismantling. Describe collection or delivery, setup access, use and return as one complete timetable.
An event package can include different time windows from daily hire. Agree extensions, out-of-hours returns and quantity changes before booking. Returning unused items early does not automatically reduce the hire charge.
Agree transport and setup separately
Self-collection needs to account for the vehicle, packaging, carrying work and return journey. Check the dimensions of large props and protect fragile pieces. For a delivery, establish whether it stops at the unloading point or includes carrying items to their final position.
Describe floors, lifts, stairs, carrying distances and access times. Arrange for someone to receive the order. Delivery does not automatically include setup. Fixings to walls, ceilings or hired objects need to be agreed with the hire company and venue.
Compare the complete booking cost
A low item price can come with extra journeys or demanding return arrangements. Compare matching quantities, hire periods and finishes, including the agreed work. Treat a refundable deposit separately from the final cost and the cash required in advance.
| Cost component | What to establish |
|---|---|
| Hired material | Which items, quantities, accessories and time windows are included? |
| Delivery and collection | Which journeys, handover locations and time slots are charged? |
| Setup and dismantling | Who carries out each task and when must the space be cleared? |
| Cleaning and consumables | Which cleaning is included; which flowers, candles or printed items are purchased? |
| Damage and missing pieces | How are condition, quantities, replacement values and possible extra charges recorded? |
| Changes or cancellation | Which individual contractual deadlines and charges apply? |
Choose material for the actual setting
Items intended for a dry indoor room are not automatically suitable for rain, wind or damp ground. Describe the intended position and check stability, fixings and protection with the supplier. Keep fragile objects away from narrow walkways.
For events open to the public, the venue and competent fire-safety authority may restrict the materials used. Escape routes, exits and safety equipment must stay unobstructed. Discuss candles, hanging decorations and electrical elements with the venue early; hiring an object is not permission to use it in every setting.
From enquiry to return
Define the items before agreeing handover and working times. Record missing pieces or visible defects when receiving the order. After the event, organise the count, packaging and access for return.
- Enquiry. State items, exact quantities, colours, venue and the complete hire period.
- Quote review. Confirm included delivery, work, cleaning and consumables in writing.
- Collection or receipt. Check quantities and condition together, including accessories and instructions.
- Return. Return all pieces cleaned as agreed and protected in their packaging.
Check before confirming the order
Confirm the final item list and permitted substitutions. Decide who sets up, dismantles, counts and attends each handover. An open quotation and a confirmed reservation may have different effects.
- Quantities and timing. Do items, accessories and handover windows fit the event timetable?
- Venue and safety. Are dimensions, fixings, weather and venue requirements clear?
- Costs and return. Are transport, cleaning, deposit and missing-item arrangements transparent?
Frequently asked questions
Is setup included in hire?
It depends on the quote. Ask for delivery, setup, dismantling and return transport to be listed separately. Delivery to the entrance is a different service from a fully installed decoration arrangement.
Do I need to know every item already?
List items and quantities you know. If the design is open, describe spaces, colours and intended use, then request a proposal with a defined inventory rather than an unspecified package.
Are flowers and candles hired items?
Vases and holders may be hired while flowers and candles that are consumed are often supplied separately. Agree ownership, quantities, replacement and disposal before treating them as included.
Can hired decorations be used outside?
Only where the items and fixings are suitable and that use is agreed. Describe wind, rain and ground conditions, and check the venue’s requirements.
Who cleans the items?
The agreement determines whether you clean them, cleaning is included or an extra charge applies. Check textiles, wax residue, packaging and delicate surfaces in particular.
What if pieces are damaged or missing?
Record quantities and condition at receipt and return. Agree replacement values, reporting and deposit reconciliation with the supplier. The hire fee does not automatically cover all damage.
