Entrance mat hire: placement, exchanges and costs
A hired mat can capture dirt and moisture at an entrance; the service includes the expressly agreed tasks. Suitability depends on location, size and use. Exchanging mats replaces neither other floor cleaning nor professional assessment of appropriate placement.
Separate rental, purchase and cleaning owned mats
Rental supplies suitable mats and exchanges them at an agreed interval. Clarify what care, inspection and replacement are included. A purchased mat with occasional cleaning follows a different cost and organisational model.
A loose entrance mat is not automatically a built-in entrance system or specialist workplace mat. Anti-fatigue, electrical protection and specialist hygiene products need appropriate assessment. A broad service name does not guarantee every application.
| Requirement | Record for the request |
|---|---|
| New hired mats | Locations, count and desired exchanges. |
| Changing supplier | Coordinate the existing contract and replacement. |
| Limited requirement | Clarify period, availability and return. |
| Cleaning owned mats | Cleaning without new rental supply. |
Consider the location and circulation routes
An indoor entrance, sheltered outside area and weather-exposed location have different requirements. Describe where mats should lie and how dirt or moisture arrives. For outdoor positions, the supplier needs to confirm suitable products and service conditions.
Mats should not interfere with door movement or usable routes. Edges, substrate and possible unevenness belong in professional assessment. Rental is not a blanket guarantee against slipping or tripping; existing obstacles still need consideration.
Give known dimensions and agree final suitability
Count the mats actually needed. Different entrances may need different formats. The building’s overall area says little about suitable mat count or size.
Known length and width help with initial selection. A desired format or old mat size is not proof of suitability. Recesses, limited door clearance and particular floor surfaces need construction and compatibility checked by the supplier without requiring your own technical test.
Standard mat or a design with your logo?
Standard and personalised mats can differ in selection, production and cost. Describe colour, image, size and a desired consistent appearance before the quote. Not every special format is available in every exchange service.
Agree design, approval, possible replacement mats and how a design change is handled. An initial request does not need a finished artwork file. Check end-of-contract arrangements for a mat made specifically for you.
Agree exchanges for the actual use
Foot traffic, weather, dirt entry and position affect care needs. Fortnightly exchange is not a universal rule. Discuss the desired interval and whether seasonal adjustments or additional exchanges are possible.
Regular exchange and care between visits are different tasks. Clarify what your business undertakes and how heavily soiled, damaged or displaced mats are reported. Compatible care follows the supplier’s instructions.
Organise replacement at the right location
Delivery to the building, handover at an internal point and placing mats where used are different services. Agree who removes used mats and positions the replacements. An exchange service does not automatically include cleaning the whole entrance.
Give the site, affected floors and particular access arrangements. For several branches, quantities and exchange needs matter at each location. Time windows, key access and holiday exceptions need agreement before starting.
Compare hire for the same stock and exchanges
Compare count, sizes and exchange interval over the same period. A per-mat, per-exchange price cannot be equated to a monthly fee without these details. A one-off purchase or washing charge does not describe a complete rental service.
Check initial supply, logo design, special sizes, transport and additional exchanges. Repair, normal wear, loss and damage may be handled differently. All-inclusive service or free replacement applies only within confirmed contract terms.
Duration, notice, stock changes, possible price adjustments and return affect total costs too. Limited hire needs to be expressly offered. A quote request does not itself conclude a mat service contract.

Frequently asked questions
Is cleaning included in mat hire?
Only as agreed. Check cleaning, exchanges, transport and replacement in the particular package. Similar service names do not mean identical tasks.
How often should mats be exchanged?
Use, dirt, weather and product determine this. Agree a suitable interval and possible adjustments. A particular interval is not a universal requirement.
Can I hire mats for a limited period?
Request duration and return explicitly. Not every ongoing service offers short hire or every special size at short notice.
Must I know every dimension already?
No. Position and mat count help initially. Add approximate dimensions already known; the supplier assesses final suitability and selection.
Can I hire a mat with my logo?
Suitable offers exist. Design, size, production, replacement and the end of the contract need agreement. Finished artwork is not compulsory for an initial request.
Will a hired mat prevent every slipping accident?
No. Product, placement, condition and substrate need to suit the application. Mat servicing replaces neither circulation assessment nor other floor care.
