Plan community support around tasks and coverage
Replying to comments, moderating discussions and starting topics are different activities. A useful project specifies channels, conversation volume and decision-making authority. Responsibilities and available coverage then become clear.
Describe the community and purpose
Identify audiences, topics and where exchange happens: social channels, a forum or a closed group. Clarify a new community, regular support or process review. Existing channels can have very different activity levels.
Define work retained internally. Advertising campaigns, extensive content production and customer service may be additional services.
Separate dialogue, moderation and content
Specify the actual activities required. Monitoring does not automatically include replies or intervention. A content plan is not the same as ongoing feedback management.
| Task | Scope to define |
|---|---|
| Replies | Questions, comments and agreed messages |
| Moderation | Rule checks and agreed intervention |
| Engagement | Topics, discussion prompts and activities |
| Monitoring | Summaries of relevant themes and feedback |
Agree rules and decision-making authority
Define clear community rules and handling of spam, violations and criticism. Distinguish factual criticism from unwanted behaviour. Agree independent actions and when the client is consulted.
Platforms offer different roles, review queues and reporting or holding options. Match rules and access rights to the actual channels. Filters do not replace every content decision.
Coordinate replies and difficult enquiries
Prepare common questions, tone and confirmed information. Adapt response templates to actual enquiries. Define when product questions, complaints or sensitive cases go to a responsible person.
Personal enquiries may need a suitable non-public process. Outsourced processing still needs purpose, access and privacy responsibilities clarified. Providers should know which information they may process for their task.
Plan coverage and conversation volume
Identify typical comments or messages and peaks during activities or events. Follower counts alone do not describe the work. A limited starting period can help without prior experience.
Agree service windows, languages and cover. Response objectives apply to agreed coverage and need clear conditions. Evenings, weekends and live events are not automatically included in daytime support.
Arrange access and handover
Agree platform roles, subject experts and approvals. Task-based access is preferable to sharing a common password. Systems and processing locations are arranged for the actual engagement.
Plan service end or change too: open enquiries, rules, reports and access need handover. Team changes and permitted tasks should remain traceable.
Compare support and results
Compare channels, tasks, volume and coverage. Reports should explain important topics, moderation decisions and transferred enquiries. Growing membership alone does not prove better support.
| Item | What to compare |
|---|---|
| Setup | Rules, roles and response guidance |
| Service | Channels, languages and coverage |
| Peaks | Activities, live events and extra coverage |
| Collaboration | Approvals, handovers and cover |
| Evaluation | Reports and ongoing adjustments |
Frequently asked questions
Is content creation the same as community management?
No. Production and member dialogue are different tasks. Agree both explicitly.
Which volume helps with a quote?
Typical comments and messages per day and unusual peaks. New communities may have an open scope initially.
Is weekend coverage included?
Only if agreed. The quote needs service windows, languages and cover.
Who decides to remove content?
Agreed rules and platform options define authority. Difficult cases need a clear consultation route.
Does the provider need our password?
Arrange suitable roles and access for the engagement. Sharing a common password is not needed to request a quote.
How are complaints passed on?
Through agreed responsibility, necessary information and a suitable non-public process. Open enquiries should remain identifiable at handover.
