Plan coffee hire around drinks, peaks and total cost

A suitable hired machine fits drink service, available space and agreed supply. A comparable quote considers demand, duration, consumption, care and transport together.

Choose rented equipment for actual use

Hire can cover an event, temporary office or replacement during an outage. Specify simultaneous devices and use locations. For mixed types, quotes need counts per configuration rather than just a headcount.

Standby equipment can have zero initially planned drinks. That does not make equipment provision or support free. Describe this purpose expressly and agree required availability.

Distinguish use period and package

Give actual use in days, even for a short booking. Delivery, setup and collection must fit before and after it. Check billed days and whether transport, weekends or preparation are included.

Shorter use does not automatically reduce a package charge. For longer rental, check minimum duration, consumption commitments, renewal and notice separately. A coffee subscription can differ from device-only hire.

Consider drinks and operation together

Black coffee, espresso, milk drinks and filter coffee need different capabilities. Bean-to-cup, capsule or pod, portafilter and filter machines are not interchangeable. Choose for the drink, operation and workflow.

Clarify self-service or drinks prepared by instructed people. Staffing and operation are not automatically included in machine hire. Milk drinks need suitable milk supply and cleaning; coffee output alone does not establish that capability.

Distinguish total drinks and peaks

Give planned drinks over the entire rental and describe busy breaks or concurrent demand. Guest count is not a reliable coffee serving count. Daily capacity does not establish that all required drinks can be served in a short break.

Account for refilling, water, emptying, cleaning and different drinks in the workflow. Several small devices can need different logistics from one large system. Have the solution confirmed for the schedule rather than adopting a machines-per-employee ratio.

Specify coffee and accessories expressly

Check supplied beans, capsules, pods or filters and any purchase commitment. Consumables must suit the offered machine. Clarify included quantity, replenishment, return of unopened goods and actual consumption billing.

Cups, milk container or cooling, sugar and cleaning products are not necessarily included in the base price. Water, power and accessory space must suit the use location. Unknown connections can be assessed technically; the known location is still required.

Organise cleaning during the rental

Agree instruction and care for the actual device. Rinsing and cleaning are not automatically the same, especially for milk systems. Clarify suitable products, accessories and responsibility during use.

The supplier’s final cleaning does not replace hygiene during use. Conversely, daily care does not automatically remove an agreed final-cleaning charge. Record both separately and check help or replacement for outages.

Compare hire, consumption and transport

Compare matching devices, drinks, duration and demand. Add hire or package, consumption, accessories, setup, cleaning, outward transport and return. Internal operation and unknown freight are not free.

The lowest-cost suitable option meets quality, workflow and deadline. A low daily price may exclude necessary accessories or cleaning; longer packages may have consumption and term commitments. An old or unclear price list is not a current binding quote.

Coordinate handover and return

Check devices, accessories, condition and agreed drinks at handover. Record collection or return shipping, packaging, cleaning condition and return time. For multiple use locations, give differing return locations and agree the full logistics together.

Frequently asked questions

Can I hire for half a day?

Give the actual duration. Available packages and minimum billing are checked separately.

Is guest count enough to select a machine?

No. Planned drinks, selection and demand in short periods matter; no fixed cups-per-person ratio.

Can every machine make milk drinks?

Confirm suitable capability, milk supply and cleaning for the offered device.

Is coffee included in the hire fee?

Only if agreed. Check starter quantity, consumption, purchase commitments and compatibility.

Does final cleaning replace care during use?

No. Clarify responsibility and device instructions during use separately.

Do I need a mains water connection?

That depends on the model. Match tank, connections, placement and supply to the intended machine.

Can planned consumption be zero?

Yes, for explicitly described standby equipment. Device, period and support still need agreement and billing.
