Calendar printing: dates, construction and complete cost
A calendar contains dates and is also a printed product. Better binding cannot correct the wrong weekday after production. Define its period and use, then check content as carefully as size, paper and finishing.
Choose the calendar type for its use
Decide where the calendar will be used and how much space notes or artwork require. Wall and desk versions need different hanging or stability. An annual overview does not need monthly turning sheets. Describe final size and actual construction of multipart products.
| Type | Key requirements |
|---|---|
| Wall calendar | Hanging, turning sheets and reading at a distance |
| Desk calendar | Stable stand, viewing direction and footprint |
| Annual overview | Identifiable period and readable whole-year view |
| Calendar pad | Sheet count, tearing off and writing surface |
Approve the period and dates clearly
State starting year, included months and language. A school, club or business year need not begin in January. Check date sequence, weekdays, month lengths and week numbers. Holiday markings should match the intended country and, where relevant, canton. An existing template is not proof that all dates and regional details are correct.
Separate copies, sheets and page faces
The print run is the number of finished calendars. You also need physical sheets per calendar, including agreed covers and backing sheets. A double-sided sheet has two printable faces, so twelve months do not automatically mean twelve sheets. Describe printed faces and additional content so suppliers price the same construction.
Check artwork and files at final size
Check sharpness, cropping, contrast and small date text at intended size. Binding and hanging need space; important artwork or text must avoid punching. Agree file format, edge areas and output profile with the supplier. Separate image usage rights and approval of dates from technical file checking.
Describe versions and personalisation
Different logos, languages, sites or images can form distinct print versions. Give exact copies of each and identify common parts. For individual names, initially describe the variable fields; personal lists are unnecessary for the first enquiry. A different print version is distinct from a packing or delivery group.
Consider paper, binding and packaging together
Heavier paper changes thickness and weight; a stable desk stand is part of construction. Check writing suitability, show-through and colour appearance on appropriate samples. Individual gifts or postal distribution may need protective packaging. A premium surface is useful only when it supports intended use and total weight is considered.
Compare the lowest suitable complete execution cost
Compare matching quantities, sheets, versions, quality and deadlines. Design and date checking, printing, binding, stand or hanger, necessary reserve, protection, transport and any postal lodgement belong together. Include your checking and distribution time. Unknown shipping is not free; a large reserve may be unusable after the intended year.
| Cost component | What the quote should include |
|---|---|
| Preparation | Dates, artwork, versions and corrections |
| Printing | Calendars, sheets, printed faces, paper and colour |
| Construction | Binding, hanger, stand and backing |
| Handling | Sample, useful reserve, packing, delivery and distribution |
Plan approval and delivery before use
Work backwards from the distribution date. Artwork, dates and every version must be approved in time; delivery and production take distinct time. Check a sample or agreed proof for sheet orientation and sequence. Retain the approved version and reconcile quantities, variants and complete construction on arrival.
Frequently asked questions
Do twelve months always mean twelve sheets?
No. Covers, backing and single- or double-sided printing affect construction. Give physical sheets and describe printed faces.
Can a calendar start partway through a year?
Yes, if that construction is available. State starting year, months and period in the common field.
Who checks public holidays?
Agree responsibility for dates. Holidays and markings need to match intended regions and be approved before printing.
Do I need finished artwork?
No. Design or adaptation can be included. Describe available artwork and required work.
How do I describe different logos?
As distinct versions with exact quantities. Identify common and differing content clearly.
Can calendars be sent to individual recipients?
This can be agreed. Packing, address handling, postal lodgement and transport must appear in the complete quote.
Is a large reserve useful?
Only if it will be used. Reserve, storage and expired copies affect total cost.
