Personalised printing: connect data, templates and copies correctly
Personalised printing changes particular content between copies: names, images, text, codes or numbers. Data preparation and actual printing quantity are distinct cost factors. A clear quote describes both and the finished product.
Describe the finished print product first
A form letter, invitation, label and numbered ticket require different sizes and finishing. Specify whether a complete item is produced or existing material receives the print. Paper, colour, pages and finishing belong in the scope. Enclosing and individual mailing are additional operations, not automatic consequences of personalisation.
Separate variable content from fixed elements
Describe what remains identical and what changes. A personal salutation is different from variable images, lengthy text or changing sets of content. For codes and numbers, define purpose, uniqueness and repetitions. Printing a code does not mean its destination or later reporting has been configured.
| Variable | What to agree |
|---|---|
| Name or address | Fields, spelling, line length and empty values |
| Text or image | Matching, text extent, image crop and available space |
| Code or number | Data source, format, uniqueness and checking |
| Content version | Combination rules and finishing/matching logic |
Count records and printed copies separately
One record can produce one or several printed copies. State distinct records and copies per record separately. If quantities or page counts vary, describe the groups in the common enquiry field. Data rows, printed pages and finished mailings are not the same unit. Agree a justified reserve and control samples separately.
Match the template to the data structure
Variable fields must connect clearly to the template. Agree columns, image files, character encoding and output with the supplier rather than assuming one file format suits every production. Long names, unusual characters and missing information can affect layout. The initial enquiry only needs a description of the structure; real personal data or confidential documents are unnecessary.
Check representative samples before the production run
Do not inspect only the first straightforward record. Include long text, empty optional fields, different images and important content versions. Check wrapping, legibility, matching and intended code use on printed samples. Agree handling of faulty records, spoilage and reprints. An on-screen preview does not replace every check on the actual material.
Compare the lowest suitable complete execution cost
Compare the entire job at equivalent quality and deadlines. A low charge per copy can conceal substantial data or setup work. Quantity, required reserve, materials, finishing, packing, transport and your own time also count. If mailing is added, bundling, postal lodgement and postage should be separately identifiable.
| Cost component | What to clarify |
|---|---|
| Data and template | Cleaning, field matching, layout adaptation and setup |
| Samples and approval | Selection, checks and correction rounds |
| Printing | Records, copies, pages, colour and materials |
| Finishing and delivery | Cutting, folding, packing, reserve, transport and optional mailing |
Agree data responsibilities and the production process
Outsourcing processing does not remove the customer’s data-protection responsibilities. Agree instructions, secure transfer, access, any subcontractors and data handling after completion. A universal deletion period does not automatically suit every job. Production approval, destination and timing are confirmed after agreed data and material checks.
Frequently asked questions
Is personalisation just address printing?
No. Text, images, codes, numbers and content versions can also vary. Describe the intended changes.
What counts as a record?
One coherent set of variable information that generates a particular product version. It need not represent a person.
Can each record be printed several times?
Yes, by agreement. Distinct records and copies per record jointly determine the print run.
Must I already have a finished template?
No. Template creation or adaptation can be commissioned, along with data preparation and samples.
Must I submit personal data with the enquiry?
No. First describe the product, quantities and variables. Actual data can be transferred securely and selectively later.
Are enclosing and mailing included?
Only by agreement. Personalisation, printing, finishing and mailing should be separately identifiable.
Does personalised mail guarantee more responses?
No. Correct production differs from campaign performance. Responses or sales are not guaranteed.
