Prepare apartment handover with clear records and responsibilities
Handover records condition, keys and outstanding issues. A careful record helps at move-in as well as move-out. Professional assistance may cover preparation, the appointment or review of an existing document. Clarify the work needed and whose interests are being supported.
Distinguish move-in, move-out and preparation
At move-in, the condition received is recorded. At move-out, the property is returned and compared with known initial information. Preparation can organise documents and questions ahead of the appointment. These are different tasks and need not happen on the same day.
State whether you need assistance as a tenant, owner or manager. Clarify accompaniment, commissioned inspection or document review. A condition-record service is not automatic legal representation and does not replace construction acceptance for a new building.
| Need | Agree the appropriate service |
|---|---|
| Move-in | Record condition received, fixtures and keys. |
| Move-out | Document return, known changes and outstanding issues. |
| Preparation | Clarify documents, questions and arrangements beforehand. |
| Record review | Discuss existing information without claiming a new site inspection. |
| Several apartments | Organise actual count, appointments and scope for each property. |
Understand initial condition using available records
Move-in records, reported issues and repair information help distinguish earlier findings from new observations. The lease and separate agreements may matter for rooms to return or items taken over. Missing documents should be identified instead of inventing an initial condition.
You can request quotes with incomplete records. The specialist clarifies which information supports the conclusion you need. New reports, photographs and full contractual details are not required at the first enquiry. Confidential information should follow an agreed process.
- Records. Prepare available move-in records, agreements and reported issues.
- Scope. Identify the apartment and associated rooms or parking spaces.
- Appointment. Coordinate the known date and relevant contacts.
- Questions. Briefly state observations and support needed without deciding liability yourself.
Describe findings precisely and understandably
A useful record locates an observation by room, component and condition. A blanket statement such as “apartment damaged” is unhelpful. Photos can supplement a finding if they show location and context. Keys, items handed over and agreed next steps also belong in the agreed scope.
Documentation differs from agreement. Have unclear wording explained and differing views identified. Check whether you confirm a condition or also accept costs. A digital signature does not make an unclear statement understandable; agree a readable copy of the final record.
Do not treat wear and damage as the same
Normal wear differs from excessive wear or a specific damaged item. Not every mark creates a tenant payment obligation. Earlier records, duration of use and component condition may matter to the assessment.
An assumed lifespan is not a blanket instruction to replace everything as new. Recording an issue does not by itself determine cause, liability or amount. Have disputed points assessed professionally and legally if necessary. An enquiry needs your observation, not an admission of fault, opening materials or testing equipment yourself.
Coordinate the appointment, cleaning and keys separately
Organise participants and access so the agreed appointment can proceed. Move-out and move-in may need separate dates. Clarify access to associated rooms and how keys or other access devices will be recorded.
Cleaning and specialist condition recording are different services. A cleaner may attend for agreed touch-up cleaning without neutrally assessing every damaged item. Cleaning scope and acceptance terms depend on the commission. Handover assistance guarantees neither an objection-free appointment nor immediate release of the deposit.
Record outstanding issues and subsequent steps
A visit records accessible and visible conditions at the agreed time. Hidden technical defects or later problems are not fully investigated. The record is not a blanket safety, hazardous-material or functional certificate for every fixture.
Further notices, repair assessments or legal steps may follow. The condition record does not automatically replace them. Agree who deals with outstanding questions. Applicable deadlines and claims should be checked promptly for the particular tenancy; one deadline for every case would mislead.
Compare fees, time and additional work
Apartment size, available records, appointment length and required work affect the cost. Brief accompaniment differs from a detailed record review with further administration. Clarify included time, travel, documentation and changed dates.
One undated published regional tariff example lists CHF 150 excluding VAT for up to one hour of work including travel, then CHF 30 excluding VAT for each additional quarter-hour started. Travel expenses and further administration are charged separately there. This is neither a Swiss average nor a promised price for your handover; compare the actual total scope offered.
| Item | Check in the quote |
|---|---|
| Preparation | Which records and questions are dealt with beforehand? |
| Appointment | Duration, included time and additional rates. |
| Documentation | Record, agreed photos and readable copies. |
| Travel | Distinguish travel time from expenses. |
| Extra work | Further assessment, administration and appointments. |
| Total | Clarify VAT, evening/weekend supplements and cancellation terms. |
Request the right scope quickly
Choose move-in, move-out, preparation or record review. Property scope, records and date help with quoting. One short common note covers a particular concern. You need not prepare a damage inventory or binding legal opinion.
After agreement come preparation and any site appointment. Have findings and outstanding issues explained, review statements and receive readable documentation. Cleaning, repairs, deposit administration and legal advice are separately agreed.
- Request. State occasion, role and apartment or actual count.
- Agreement. Agree service, date, access and fee.
- Record. Have condition and disputed points described clearly.
- Follow-up. Receive a copy and assign responsibility for outstanding work.
Frequently asked questions
Can I get support when moving in?
Yes. Assistance can record the condition received and agreed handover points. It is not only for move-out. State the occasion so the commission fits.
Can I request quotes without a move-in record?
Yes. State which documents are available. Missing initial information can limit assessment and should remain visible rather than presenting an earlier condition as certain.
Is cleaning automatically included?
No. Cleaning and condition documentation are different services. Agree cleaning, touch-ups or attendance for those tasks separately.
Must I accept every cost listed in the record?
Read the statement and have unclear or disputed points explained. Recording condition differs from accepting a payment obligation. If uncertain, have the particular wording assessed.
Are ordinary signs of use automatically tenant damage?
No. Normal and excessive wear need distinguishing. Condition, earlier findings and use may matter. Charging every mark at replacement-as-new cost is not a reliable assessment.
Does accompaniment guarantee my deposit refund?
No. It guarantees neither deposit release nor the outcome of a dispute. Administrative help can be agreed additionally; specific claims and outstanding questions are addressed separately.
