Window maintenance: scope, intervals and costs

What does maintenance cover, when is it needed and how do you compare costs? The agreed work, existing window units and any separate repairs matter more than the service label alone.

Define what window maintenance includes

Maintenance checks whether existing windows can be operated safely and identifies any care or adjustments needed. It may include checking operation, cleaning the mechanism, appropriate care of the fittings and inspecting seals. The quote should state which tasks are included.

An inspection does not automatically include replacing every defective part. Damaged fittings, a new glazing unit or repainting a frame may be additional work. Nor does the term window maintenance by itself include thoroughly washing every glass surface.

Mention known problems in your request. A sticking handle or draught may require investigation alongside planned maintenance. A specific defect may be better covered by a window repair request; replacing entire windows is another project again.

Match service intervals to the system and its use

There is no single maintenance interval that suits all windows and every task. Manufacturers may distinguish care of moving fittings, seal checks and timber surface maintenance. An occasional professional service does not automatically replace the care specified between visits.

Frequently used windows in schools, offices or shared spaces may need different attention from windows in a rarely used room. Exposure, dirt and the instructions for the installed components also matter. Ask the contractor to propose a scope and schedule suited to the actual windows.

New operating problems should not simply wait for the next routine visit. A loose sash, damaged glass or a lock that no longer holds safely needs separate assessment. An ordinary quote request cannot replace immediate work to make an unsafe window secure.

Count window units, sashes and panes consistently

For your request, count complete window units, including balcony and terrace doors. A window with two opening sashes still counts as one unit. The separate sheets of glass within an insulating glazing unit are not counted as several windows either.

A contractor may nevertheless charge per moving sash. Ten windows with two sashes each could then represent twenty sashes to service. Check what a price per window, unit or sash means, so you do not compare apparently similar unit prices covering different quantities.

Tilt-and-turn windows, sliding units, roof windows and fixed glazing require different tasks. Fixed glazing has no opening mechanism to lubricate, but its seals, frame and connections can still be inspected. You can request work on mixed types together; the quote should account for those differences.

Use care suited to each component

Care products must suit the fittings, finishes and seals. Not every treated metal surface should be oiled, and a cleaner suitable for one component may be unsuitable for a frame or glass. Follow the instructions for the particular system rather than treating a general lubricant or household product as a universal substitute.

Ask the contractor to show which accessible care you can carry out and which tasks need professional servicing. Adjusting safety-critical fittings, removing heavy sashes and replacing load-bearing parts require expertise. Do not force a damaged window to move.

Timber surfaces may need additional maintenance, while PVC and metal frames have different care requirements. Lubricating the mechanism does not restore failing paint. Seals should not simply be painted over during surface work.

Compare maintenance prices and the complete cost

The cost depends on factors including the number and type of units, their condition, the agreed tasks and travel. An inspection-only visit is not equivalent to servicing that includes adjustments and replacement parts. A broad price range without a defined scope offers little practical help.

For a unit price, check the billing unit and any minimum charge per visit. For work charged by time, the hourly rate, minimum billed duration and materials should be clear separately. A package for particular roof windows is not a general tariff for facade windows.

Establish which small adjustments are included and how additional repairs will be approved. If parts need ordering, a second appointment and another travel charge may be necessary. Compare the complete amount including VAT and necessary access equipment, rather than just the first figure quoted.

Request a single service or regular maintenance

You can request a single maintenance visit without choosing an ongoing service contract. If you want regular servicing, its frequency, scope and costs should be set out in a specific offer. Submitting a request on Quoti does not conclude a maintenance contract.

Access must be coordinated when the work covers several apartments or business premises. Agree which units are included, who arranges appointments and whether all rooms will be available during the same visit. Separate visits or failed access can increase the work involved.

Known manufacturer or model details and existing maintenance records help the contractor prepare. You should not dismantle a window or open an unsafe part to find them. Missing technical information can be checked on site.

Prepare for the service and record the result

Make the agreed windows accessible from indoors and clear the necessary working area. Mention hard-to-reach units, activities continuing on the premises and known damage when arranging the visit. Agree any access equipment with the contractor instead of improvising it.

After the service, check the agreed functions together: opening, closing and locking as appropriate for the system. Record any remaining defects, required parts and further work separately.

Keep the work record and suitable care instructions. They help establish which units have been serviced. A maintenance record does not, however, guarantee that an older window now meets every modern insulation or security standard.

  1. Describe the windows. Count the units, select their types and mention known problems.
  2. Compare the scope. Clarify checks, care, billing basis and additional work.
  3. Prepare access. Clear working areas and coordinate different rooms.
  4. Check the result. Record functions, outstanding issues and future care.

Frequently asked questions

Is window maintenance the same as window cleaning?

No. Maintenance mainly concerns the condition, operation and appropriate care of components. Thorough glass cleaning needs to be agreed separately.

How often do windows need maintenance?

It depends on the system, its use and the individual tasks. Manufacturer instructions and an assessment of the installed units are more useful than a single interval for all windows.

Does a window with two sashes count as two windows?

In the request it counts as one complete unit. Some contractors charge separately for moving sashes, so confirm the billing basis.

Do I need to take out a maintenance contract?

No. You can request a single service. Regular maintenance and its terms are only agreed if that is what you want.

Are new seals and fittings automatically included?

No. Inspection, care and replacement are different tasks. The quote should identify included parts and the approval needed for extra repairs.

Do I need to know the manufacturer or window technology?

No. Known details help with preparation but can remain unknown. Clear information about the units and observed problems is enough for the request.
