Outsourcing VAT returns: methods, records and fees

A VAT return involves more than entering figures. It must fit the books, business activities and applicable reporting arrangements. A clear appointment distinguishes routine processing, annual reconciliation, corrections and advice. Professional fees are separate from the tax actually due.

What support do you need?

Specify whether the professional checks figures, prepares the return or also processes records and submits it. Registration, deregistration or method changes may require further assessment. For existing issues, identify the periods and returns already submitted.

Distinguish methods and activities

The effective method, net tax rates and flat rates are different procedures. Simplified methods depend on authorised activities and rates; several activities may require separate records. Have a change reviewed, since adjustments can be involved. Simpler reporting does not automatically mean lower total fees or tax.

State the actual reporting interval

State your existing reporting interval. Since 2025, annual returns can be requested subject to conditions and instalments. They are not automatically available to every business and do not remove all work during the year. Agree known deadlines and outstanding periods with the professional.

Prepare traceable records

Invoices, payments and the accounts need to align. State the system, bookkeeping progress and complications such as mixed activities, currencies or cross-border transactions. Organised records help but do not replace checking their tax treatment. Agree complete files and access later through a specific process.

Agree online submission and permissions

Returns are filed online. Since May 2026, the Pro version of the authority’s portal is used. Specify who prepares, checks, submits and arranges payments. Representation and access permissions are established separately; personal login credentials do not belong in a quotation request.

Plan reconciliation and corrections

Compare submitted returns with the annual accounts and investigate discrepancies. A period correction differs from annual reconciliation. If no errors are found, no additional correcting return is required. Agree who performs the reconciliation; routine return preparation does not automatically include it.

Separate professional fees from tax

Fees depend on scope, record quality, periods and investigations. Preparing a return alone is not directly comparable with including bookkeeping and corrections. Agree hourly work or a fixed fee, included tasks and possible extras. Compare specific quotations on equivalent terms.

Prepare your request

An overview is enough initially. Known arrangements help, but should not be guessed. Describe periods and available records; an initial advisory appointment may suit unresolved questions. Arrange later secure handover with the appointed professional.

  1. Task. Choose ongoing processing, corrections or advice.
  2. Starting position. State known methods, interval and progress.
  3. Complications. Briefly describe systems, periods and relevant transactions.

Frequently asked questions

Is the tax payment included in professional fees?

Fees pay for agreed work. VAT due is a separate amount. Compare those items separately.

Can every business file annual returns?

No. It requires an application and eligibility. Instalments and ongoing record preparation still matter.

Can previous returns be corrected?

That can be included. State affected periods and known errors. Distinguish period corrections from annual reconciliation for the case.

What if I do not know my method?

Say it needs clarification. The professional can check existing arrangements. Guessing would make the quote less useful.

Should I include login details in the request?

No. Set up access and representation separately later. The task and starting position are enough for a quotation.

Is annual reconciliation automatically included?

Only if agreed. It covers matching to the books and addressing discrepancies. Specify scope and fees expressly.
