Choose business software for retail and wholesale
Trade software should connect procurement through to invoicing in a traceable way. Retail, wholesale and mixed businesses need different pricing, order and sales workflows. Assortment, real processes and connections matter more than the longest feature list.
Describe the business model and assignment
Specify implementation, replacement or extension. Describe shop sales, customer orders, wholesale and any online channels. Merchandise management is not automatically a complete new webshop or an advanced warehouse execution system.
Name problems such as duplicate article maintenance, unclear reservations or manually handled deliveries. Define which processes must work consistently first.
Structure assortment and master data
Articles, variants, packaging and units need clear relationships. Distinguish active article types from physical stock units. Supplier references, sets or different purchase and sales units may need particular configuration.
| Basis | Clarify for selection |
|---|---|
| Assortment | Active types, variants and sets |
| Units | Pieces, packs, weight and conversion |
| Partners | Customer/supplier roles without raw records in the request |
| Sales locations | Tills and other relevant channels |
Run through a complete order
Check purchasing, receipt, reservation, delivery and invoicing with neutral data. An order, reserved stock and delivered goods are different states. Partial quantities and backorders should remain visible.
Test cancellation, return and credit linked to the original transaction. Specify when stock and accounting update. Automation helps when corrections and errors remain understandable.
Test pricing rules and sales channels
Base prices, customer agreements, quantity tiers and promotions can interact. Define validity, priority, unit and currency. The offered pricing method must represent your rules and expose conflicting combinations.
For POS, test equipment, receipts, payments and connection interruptions. Online and shop stock require agreed coordination. Commercial terms and tax requirements need specific review; a software function does not automatically satisfy every requirement.
Define existing systems and migration
List accounting, shop, tills, warehouse or supplier systems that will remain. Define authoritative articles, prices and orders, exchange direction and error handling. An advertised connector is not automatically included in the project price.
When switching, plan articles, open orders, stock and necessary history separately. Check cleansing and trial imports. Agree operation, permissions, backup and a usable export for future changes.
Compare use, implementation and devices together
Compare identical users, functions, assortment and relevant outlets. Clarify whether licensing depends on people, tills, modules or other quantities. A low base licence may omit necessary features.
Separate software, project work, devices and ongoing support. Include internal data work and training. Assumptions, exclusions, extra connections, upgrades and handover belong in the total-cost comparison.
| Cost area | Check the quote |
|---|---|
| Software | Roles, modules and assortment scale |
| Configuration | Articles, prices, documents and permissions |
| Migration | Open transactions, stock and control import |
| Devices and connections | Tills, printers, payment and data exchange |
| Operation and exit | Support, updates, backups and export |
Accept through everyday scenarios
A pilot should show a normal sale and difficult cases: partial quantity, price change, return and discrepancy. Check stock and invoice results with future users. Agree cutover and support after launch.
Initial quotes need the business model, functions, users and assortment scale. POS work benefits from the exact number of sales outlets. Briefly explain systems and special rules without uploading customer records, purchasing prices or passwords.
Frequently asked questions
What determines trade software cost?
Functions, users, assortment, POS, interfaces, migration and implementation/support. Compare the same conditions.
Is trade software a webshop?
Not automatically. It can manage orders and merchandise and connect a shop. A new sales website may be a separate project.
Are wholesale and shop sales the same?
No. Customer terms, quantities, order handling and till workflows differ. Ask to see the processes you actually need.
Are discounts automatically combined correctly?
That depends on configuration and priorities. Test customer prices, promotions, tiers and returns against your rules.
Can existing tills or shops remain?
Check concrete devices, systems, data flows and costs. A general interface statement does not confirm a connection.
Must I upload customer or price lists?
No. Describe assortment and processes without confidential records. A protected control import can be agreed later.
