Restaurant management software: match functions to the venue
The software must fit your workflows and devices. What matters is how selected functions work together in the actual venue. A comparable quote separates modules, integrations, introduction and recurring fees.
Start with the venue and workflows
Restaurants, cafés, bars, canteens and mobile venues have different workflows. Prioritise tills and kitchens, reservations, online orders, inventory or staffing. For multiple sites, clarify shared master data and local differences. One module may suffice; a complete package is not automatically the most economical suitable choice.
Walk through ordering to closing
If a till is needed, test table transfers, special requests, course order, split bills, voids and daily closing. Kitchen and service should see the same changes reliably. Payment devices, printers and kitchen displays are separate integrations. Agree roles and approval for price changes or refunds. A feature list does not replace testing a complete journey with your team.
Connect useful additional modules
Reservations need capacity, time slots and change rules. Online orders need reliable kitchen and billing handovers. Inventory and costing depend on maintained items, recipes and units. Staffing and time records need suitable roles and controlled exports. Clarify dependencies between modules and avoid duplicate data entry.
| Area | Check the dependency |
|---|---|
| Reservations | Capacity, times and changes |
| Online orders | Kitchen, payment and billing |
| Inventory | Items, recipes and units |
Check devices, connectivity and failures
Inventory existing tablets, tills, printers and payment terminals. Reuse makes sense only if the combination is supported and tested. With unreliable connectivity, clarify offline functions and later reconciliation. Offline ordering does not automatically mean offline card payments. Plan fallbacks, backup and support during your actual opening hours.
Prepare data, billing and permissions
Items, prices, menus and permissions must be configured correctly. Clarify tax settings, receipts and accounting exports with responsible staff against current Swiss requirements. Foreign fiscalisation marketing does not prove Swiss compliance. Guest and employee data need defined access and retention. During migration, check open reservations, vouchers and stock too.
Introduce under realistic conditions
Test typical dishes, roles and workflows before real use. Include peaks, changes, voids, exports and connection loss. Train service, kitchen and administration for their tasks. Agree migration, acceptance, start date and rollback. A switch during operation needs support and coordinated fallbacks.
Compare the total cost
Compare modules, sites, devices and contract term on the same basis. Add setup, hardware, training, migration, maintenance and possible transaction or booking fees. Billing per device, venue or mediated booking is not equivalent. An included software feature does not automatically include its hardware. Clarify support, overages, cancellation and later exports in writing.
| Cost item | Check the quote |

| Start | Hardware, setup, data and training |
| Operation | Fees, maintenance, support and export |
Checklist and procurement procedure
Name the venue type, sites, functions, users and existing devices or applications. Add connectivity, desired start and migration needs. Credentials, guest lists and personnel records are unnecessary initially. Proceed through needs review, comparable quotes, a practical demonstration, agreed scope, setup, testing, training and documented handover.
Frequently asked questions
Is this only till software?
No. Depending on need, it may cover reservations, orders, inventory or staffing.
Must I buy every module?
No. Select required functions and check their dependencies.
Can existing hardware remain?
If supported and tested for the required combination. Have the actual devices assessed.
Does everything work offline?
Not automatically. Check ordering, reconciliation and card payments separately.
Does foreign fiscalisation prove Swiss compliance?
No. Clarify current Swiss requirements and your settings with responsible specialists.
What may cost extra beyond the licence?
Hardware, setup, migration, training, support and usage fees. Compare the complete scope.
