Commission an ESG report with traceable information and clear limitations
ESG covers environmental, social and governance matters. A property report should therefore show more than energy consumption alone. Its usefulness depends on defined assets, understandable indicators and disclosed data gaps. Agree the purpose, period and required services before drafting starts.
Define the audience and intended use first
An internal report supports different decisions from an investor publication or information supplied to a lender. Clarify whether you need a first report, an update or help improving data quality. An introductory overview is not automatically complete disclosure under a particular framework.
Agree which requirements actually matter and the expertise needed. Reporting, sustainability strategy and independent assurance are different services. A report describes the agreed scope; creating it does not by itself improve a building’s sustainability.
| Goal | Agree the appropriate commission |
|---|---|
| First report | Define assets, period, topics and traceable information. |
| Update | Review the previous baseline, changes and recurring data collection. |
| Internal management | Select decision-relevant indicators and responsibilities. |
| External communication | Clarify recipient expectations, publication and approval. |
| Data quality | Check gaps, consistency and origins; agree report drafting separately. |
Record assets, periods and calculation units
Which properties and period does the report cover? Purchases, sales, vacancy and changes of use can affect comparability. State whether figures cover a complete year or part of one. Building count and the chosen reference floor area should be understandable.
Total consumption and figures per area answer different questions. A portfolio change can reduce a total without making an existing building more efficient. Have changes in reporting boundaries and calculation methods explained before claiming improvement between two years.
Distinguish measured values, estimates and gaps
Bills, management information and earlier reports may come from different systems. Linking a source, period and responsible person is useful. The adviser should check duplicates, incomplete information and inconsistent units. An automatically generated chart does not make its underlying data reliable.
Missing information should not silently become zero. An agreed estimate should be identified with its method and coverage. A measured value and a modelled assumption are not equally informative. Agree who completes the data and how subsequent corrections remain traceable.
- Asset list. Compile the affected properties and known changes.
- Available information. Prepare existing bills, reports and management records.
- Responsibilities. Identify contacts for data and approval.
- Confidentiality. Supply only necessary information through an agreed process. Do not put tenant details in the initial request.
Match environmental, social and governance topics to the assets
Environmental topics may include energy, greenhouse gases, water or waste. Define the buildings, consumption and activities covered. Operation and later construction work should not be mixed into one figure without explanation. A complete emissions assessment needs an agreed boundary.
Housing indicators might concern satisfaction, surroundings or affordability; commercial assets may need different indicators. Governance also covers responsibilities, data collection and control processes. Choose relevant topics rather than apply every indicator set to every property use.
Interpret indicators and targets using an explicit method
A benchmark needs a compatible comparison group, method and reporting period. Assessments with the same name may be calculated differently. One score cannot replace explanation of its limitations or examination of individual environmental, social and governance topics.
Separate targets and measures from observed results. Planned refurbishment is not a consumption reduction already achieved. Ask for a target pathway’s baseline, assumptions and responsibilities. An ESG report guarantees neither a rating, funding, increased value nor a particular future impact.
Agree report preparation and independent assurance separately
Data checking during preparation differs from independent external assurance. If the latter is needed, clarify subject, procedure, assurance provider and scope of the conclusion. A well-presented report does not automatically include an assurance statement.
Legal, contractual or voluntary requirements depend on the organisation, activity and recipients. Their current application should be checked for your case; owners do not all need the same report. Proposed rules are not already effective law. Clarify approval and confidential information before publication.
Compare fees according to data work and the required result
Property count does not determine the fee alone. Data quality, systems, period, topics and analysis depth affect the work. An update with stable information differs from an initial collection with many gaps.
Compare included collection, consistency checks, calculations, drafting and presentation. Design, translation, software, subsequent years and external assurance may be charged separately. Ask for VAT, revision rounds and assumptions about extra work to be stated.
| Item | Check in the quote |
|---|---|
| Data | Who collects, organises and completes which information? |
| Calculations | Which indicators, boundaries and methods are agreed? |
| Report | Define length, format, language and data handover. |
| Revision | Set the limits of approval, corrections and questions. |
| Assurance | Distinguish internal checking from external assurance. |
| Total cost | Clarify taxes, additional work and later reporting periods. |
Move from a simple request to a usable report
Initially state the purpose, assets, period and available data types. You need not select a technical reporting framework or calculate every indicator beforehand. Particular recipient requirements can go in one short common description.
After agreement come data checks, analysis and a draft report. Have results and limitations explained before approval. Also agree which prepared data you receive and how the next period can follow. Improvement measures remain separate decisions.
- Goal. State the audience, purpose and affected properties.
- Basis. Agree period, topics, available data and outstanding requirements.
- Draft. Discuss indicators, traceability, gaps and conclusions.
- Approval. Receive the report and agreed data; decide the next commission separately.
Frequently asked questions
What does ESG mean for property?
Environmental, social and governance matters. The report describes agreed topics using traceable information. Comparing energy alone does not automatically cover all three dimensions.
Can I request quotes with incomplete data?
Yes. State available data types and known gaps. The adviser clarifies what needs adding and which conclusions are possible. Missing values should not be disguised as zeros.
Do I need a separate report for every building?
That depends on the purpose. A portfolio can be reported together with clear asset and data boundaries. Agree whether individual reports or supplementary asset sheets are needed.
Is external assurance included?
Not automatically. Checking during preparation and independent assurance are distinct. Clarify subject, scope, responsibilities and costs separately.
Must every property owner publish an ESG report?
No such universal statement can be made. The organisation, activities, contracts and recipients may affect requirements. Have the current conditions assessed for your case.
Are indicators from different reports directly comparable?
Only with compatible boundaries, periods and methods. Portfolio and calculation changes can affect results. Have differences explained before inferring improvement or a ranking.
