Choose promotional products and compare the whole order
A useful gift combines the right item with suitable decoration. A small logo on a pen, a drinks bottle and an employee gift set differ in material, print area and distribution. Start with actual use.
Define the occasion and recipients
State the occasion, audience and intended use. An item distributed at a public exhibition needs different properties from a gift set for a small team. Planned reach is not a guarantee of advertising impact.
If the product idea remains open, describe desired usefulness and distribution. This supports suitable proposals without prematurely choosing an arbitrary item.
Compare products and functional quality
Check what the item should do in everyday use. Pens involve writing feel and refillability; bags involve size and load; drinkware involves cleaning and intended use. Similar product names do not establish equal quality.
| Product group | Useful comparison question |
|---|---|
| Writing instruments | Function, grip and refill options |
| Bags | Usable size and loading |
| Drinkware | Cleaning, closure and use |
| Technical accessories | Compatibility and documented properties |
| Gift sets | Contents, assembly and packaging |
Match the design to the print area
Define positions, colours and approximate artwork size. Usable area depends on the item, shape and process. A large photograph cannot be transferred unchanged to every small or curved surface.
Printing, engraving, embossing and other methods produce different results. Describe the desired appearance and request a suitable execution. One product’s instructions are not a universal minimum font size.
Clarify variants and artwork preparation
State whether a logo or print-ready artwork exists. Clarify checks, position, colours and versions. Individual names or changing designs require different workflows from identical logos.
The initial enquiry only needs the type of personalisation; real recipient names belong in a later agreed secure exchange. For a QR code, test the printed sample and destination rather than approving only the screen layout.
Consider suitability and product documents
Identify special users and conditions, such as children, food contact or electrical accessories. Product-specific safety and marking requirements can matter. A promotional logo or free distribution does not replace that assessment.
Have the documents for the actual item and intended use explained. Origin and environmental statements should be verifiable; a general sustainability label does not establish lifespan or suitability of the complete decorated product.
Plan samples, quantities and distribution
A real sample helps assess function, material and handling. A decorated sample adds logo and readability. Agree approval, quantities per version and a sensible requirement including spare stock.
Clarify individual packing, gift sets, sorting and delivery to one or more locations. Assembly and distribution are not automatically included. Check the time available until the actual event, including artwork approval and transport.
Find the lowest-cost suitable complete execution
Compare the same item, quantity and decoration. Unit price, setup, artwork work, samples and packaging should be identifiable. A larger quantity can lower unit price while still creating unnecessary total costs.
Include spare stock, sorting, transport and your own time. Unknown shipping costs are not free. The lowest-cost suitable solution meets quality and timing; generic market prices without a defined item are of little help.
| Item | Matching basis |
|---|---|
| Product | Model, material and quantity |

Frequently asked questions
Can I request ideas without a fixed product?
Yes. Describe recipients, occasion, intended usefulness and planned quantity.
Do I have to select a printing method?
No. Describe artwork and product; the supplier can propose a suitable method for its actual surface.
Can individual names be added?
Depending on item and method. Clarify variants, costs and subsequent secure data transfer.
Is a digital proof a product sample?
No. It shows layout; a real sample assesses function, material and actual decoration.
What matters for children’s items or drinkware?
State intended use. Safety or contact requirements need assessment for the actual product, rather than being inferred from a logo.
Are gift packing and direct shipping included?
Only if agreed. Set assembly, individual packing, address processing and extra destinations can be separate services.
