Booking models: casting, attendance and image rights
A model booking supplies a suitable person for a particular assignment. A photographer, film crew, styling and finished media are not automatically included. Comparable quotes require the task and later use of any recordings to be defined.
Describe the task and presentation first
Distinguish photo shoots, video, runway and other live appearances. Describe the product, audience and action: presenting clothes, demonstrating a product or portraying an everyday situation. Speaking roles or longer acted scenes may require other skills.
Make requirements relevant to the task. Clothing may require suitable measurements, while demonstrations may need specific movement or experience. One coherent short profile is more useful than an arbitrary list of personal characteristics.
Select from current proposals
Ask for suitable proposals with current work samples and availability. References do not prove suitability for every task. Check language, product handling and necessary movements before choosing.
A tentative option is not a confirmed booking. Record the selection deadline and the confirmation that makes the assignment firm. Open dates or weather-dependent shoots require clear coordination.
Include preparation in attendance
Plan the actual days and hours per day. Fitting, makeup, styling and rehearsals also take time. A short period on camera may require longer attendance on site.
Discuss travel, breaks and possible overtime. The quote should show the included scope and how additional time is agreed. Day and half-day labels are not reliable hour totals without the actual booking terms.
Arrange clothing, support and safe conditions
Specify who supplies wardrobe, styling, makeup and props. A model does not automatically bring suitable clothing or professional styling services. Sizes, fittings and outfit changes need to fit the production plan.
Disclose water, animals, physical demands or difficult locations. Responsibilities, support and safety precautions should be agreed first. For minors, consent and applicable working conditions require separate checks.
Agree recordings and image use explicitly
For photo and video, identify permitted media, territory and duration. Booking a model does not automatically provide unlimited advertising or exclusivity against other brands. Additional uses and longer periods need timely agreement.
Live appearances may also be filmed or photographed. Disclose this before booking. The model’s consent and the rights in the photograph or film are separate matters; paying a model fee does not purchase all production rights.
| Rights point | Record before booking |
|---|---|
| Channels | Website, social media, print, ads or other media |
| Territory and period | Permitted markets, start and usage duration |
| Exclusivity | Product category and precise restriction if needed |
| Further use | Extensions, new campaigns and agreed editing |
Compare the same booking scope
Compare the same model count, days, attendance and usage. A seemingly lower fee may exclude travel, agency services, styling or image rights. Have included services and additional costs identified clearly.
Plan for changes and absence. Check postponement, cancellation, weather and possible replacement terms. A replacement can be sought or agreed without guaranteeing every profile’s availability.
| Cost component | Comparable detail |
|---|---|
| Assignment | Model count, days and attendance including preparation |
| Organisation | Casting, booking and coordination |
| Preparation and travel | Fitting, styling, travel and possible accommodation |
| Usage | Media, territory, period and requested exclusivity |
Prepare selection and delivery of the assignment
After selection, confirm the complete brief with task, location, times and rights. Provide a clear schedule and on-site contact. Send changes to the responsible booking contact in good time.
Check recorded time at the end and document additional agreements. Keep confirmation and usage terms with the recordings. You can then check whether a later campaign requires fresh permission.
Frequently asked questions
Does the booking include a photographer?
Only if the quote expressly includes one. Model, photographer, styling and final files are separate services.
Do makeup and fitting count as working time?
Clarify this in the booking. Preparation takes time and should be included in the planned attendance.
Is an option a firm booking?
Not automatically. Ask for the confirmation deadline and binding booking confirmation.
Can I use the images without limits?
Only if expressly agreed. Define channels, territory, duration and additional uses.
Does a live appearance also need image rights?
If recordings are made or reused, this must be agreed. The live appearance alone does not define broad media use.
What happens with bad weather or absence?
The agreed postponement, cancellation and replacement terms apply. Check them before confirmation rather than assuming free replacement.
