Mailroom equipment: align workflow, materials and costs

Mailroom equipment performs individual steps before or after dispatch. Actual mail, material variants and workload peaks determine suitability. A machine for one step does not automatically replace a complete mailroom.

Identify the required step

Franking, folding, inserting, sealing, weighing, addressing and opening are different tasks. State the main need and additional functions. For multiple machines, one common list with count and task is enough.

Separate new procurement, replacement and setup of existing machines. Outsourced mailing and print production are included only when explicitly commissioned.

Compare using actual materials

Formats, paper weight, sheet counts, inserts and envelopes affect suitability. Windows, folds and address positions must align. After the request, representative samples can be tested without confidential information.

Maximum speed and sheet count do not apply to every combination. Include refilling, setup changes and checks in the workflow.

Distinguish daily mail from batches

Small daily quantities and large monthly batches need different arrangements. Describe normal volumes, peaks and time before postal handover. Operator time also belongs in the total execution cost.

Compare manual or external alternatives against the same quality target. There is no universal quantity at which every machine becomes economical.

Keep documents matched to recipients

Identical inserts are simpler than variable invoices or personalised multipage sets. Have grouping, double feeds and exceptions assessed.

Double-feed detection alone does not prove correct recipient matching. Agree representative testing, rejected-item handling and a traceable process for restarting interrupted jobs. Anonymise sensitive content for tests.

Separate franking arrangements from equipment contracts

A connected franking system needs equipment currently accepted by the postal operator and the required operator agreement. Clarify connectivity, tariff updates and commissioning before procurement.

Postage is a dispatch cost and is not automatically included in equipment prices. A new machine does not itself provide special mailing rights or a guaranteed discount.

Compare total work rather than monthly payments

Compare equipment, material suitability, term and scope. Delivery, installation, training and supplies may be charged separately. Rated speed does not describe the entire workflow.

Choose the cheapest suitable complete execution meeting quality and timing. Include preparation, reserve, required bundling, transport, postal handover and your own time where relevant to the project. Unknown items are not free.

Accept equipment through material testing

Operation, refilling and safe fault handling should be explained for the actual machine supplied.

  1. Need. Describe steps, machine counts and material variants.
  2. Testing. Use nonconfidential samples and variable sets.
  3. Setup. Agree working space, access and connections.
  4. Acceptance. Check results, exceptions and instructions together.

Keep the first request clear

The provider assesses technical selection and eligibility. Your quantities and tasks should remain concrete.

  • Scope. Tasks, machine counts and existing models.
  • Materials. Envelopes, formats, sheet groups and inserts.
  • Usage. Daily mail, batches and peaks.
  • Handover. Town, access and desired date.

Frequently asked questions

Does every inserting machine frank mail?

No. Inserting and franking are separate functions. Have both requested steps confirmed.

Is maximum speed enough to compare machines?

No. Materials, refilling, setup changes and checks affect actual workflow.

Can I request several functions together?

Yes. List counts and tasks per machine along with material variants.

Are postage and supplies included?

Not automatically. Equipment, operation and dispatch costs should be shown separately.

How are variable document sets checked?

Through agreed tests of matching, exceptions and restarting interrupted jobs, using nonconfidential samples.

Can existing equipment be configured?

Yes, if models, materials and connections are suitable. State the known model without account access details.
