Choose a helpdesk suited to your organisation

A central contact point can organise faults and assist users. The offer must show which cases are handled directly and which go to internal IT, manufacturers or other providers. Ticket software alone is not a staffed service.

Describe users and demand

State supported user count, sites and typical systems. Describe known monthly request volume and peaks from starters, changes or seasonal activity. No named employee list is needed.

Phone, email, portal or existing tickets must fit working practices. Clarify language, follow-up and user availability. A reporting channel does not state when a person handles the request.

Define handling and handoffs

Define expected help in plain terms. Intake, standard help, deeper assessment and manufacturer escalation may have different owners. State handoff criteria and responsibility for user communication.

Make hours and priorities measurable

An initial response is not resolution. Agree when measurement starts, pauses and ends and priorities by impact. Waiting for users, parts or third parties needs clear treatment.

Calendars need time zone, workdays and holidays suited to your sites. Four agreed business hours differ from four continuous hours. A software setting does not create a provider commitment.

Transfer knowledge and systems

Handover needs approved procedures, system overview and escalation contacts. Clarify whether existing ticket software stays or changes. Open cases, knowledge articles and interfaces are separate handover items.

Start with a limited pilot and ordinary cases. Check recording, follow-up, handoff and closure. Resolve unclear responsibilities before wider takeover.

Limit data and access

Tickets may contain personal information. Agree access, retention, processing and return with responsible parties. Remote control needs suitable permission; a contract does not authorise every account.

Initial enquiries need no ticket archive, passwords or confidential attachments. Describe systems, data categories and requirements normally. Later tests can use neutral cases.

Compare contract costs and growth

Per-user fees, ticket prices and time billing use different bases. Check included work, excess requests, extended hours and projects. Compare the same users, hours and case types.

Check quality through cases

Reports should make intake, handling, open cases and escalations traceable. A closed ticket number alone does not prove a usable solution. Agree reopening, feedback and outcome checks.

Adapt knowledge and handoff rules to recurring problems. On provider change, transfer open cases, documentation and access clearly. This keeps care understandable across contract boundaries.

Frequently asked questions

Is a helpdesk just software?

This service concerns staffed intake and handling. Compare software licensing and human service separately.

Must I select technical support levels?

Describe needed tasks. The provider can derive suitable responsibilities and escalation.

Are response and resolution the same?

No. Each target, measurement condition and dependency needs agreement.

Are holidays counted?

The agreed calendar determines this. Clarify workdays, time zone and measurement method.

Can existing ticket software remain?

If interfaces, permissions and responsibility fit. Compare handover and licence costs first.

Must I upload real tickets?

No. Volume, systems and ordinary case types suffice initially.
