Choosing suitable HR software
HR software connects personnel information to working processes. A digital personnel file, recruitment workflow and leave approval serve different purposes. Decide which need to work reliably first and which existing systems should remain. A complete suite makes sense when its additional modules meet actual needs.
Define the priority workflows
Prioritise personnel administration, recruitment, absences, self-service and staff development. Payroll and time tracking can remain separate systems. For several entities or sites, establish which processes are shared and which are separate. Ask providers to demonstrate the same ordinary journey, such as an invented employee joining, changing details and leaving.
| Area | What to check |
|---|---|
| Administration | Master data, documents and task-based permissions |
| Recruitment | Application, collaboration and process closure |
| Self-service | Change requests and traceable approvals |
| Development | Reviews, goals and access to results |
Check roles and approvals in practice
HR staff, managers and employees need different views and permissions. Check who can change information, approve requests and view documents. Test deputising, rejected requests and removal of access on departure. A portal becomes useful when each person understands their own workflow; an administrator-only demonstration is insufficient.
Protect personnel data for their intended use
Define the purpose of stored data and task-based access. Applications and personnel files should not be generally accessible without a justified need. Set retention and deletion by data category and concrete requirements rather than applying one period to every file. Check processing locations, subcontractors and return of data for cloud and support services. Selecting software alone does not confirm data protection compliance.
Connect existing systems with clear data ownership
Assign a system of record for personnel data, payroll, working time and sign-in. Describe the required connections and direction of exchange. New staff records should not be silently duplicated. Check error feedback, change logs and correction of a change already transferred. System names and requirements are sufficient for the initial enquiry; passwords are unnecessary.
Start implementation with a pilot process
Start with a defined process and a small user group. Clean the necessary data before migration; not every old file belongs automatically in the new record. Agree training, responsibilities and acceptance criteria. Use invented data to test the complete workflow, including exceptions and reversal, before adding teams or modules.
Compare total costs and contract exit
Compare offers for the same headcount, editing roles and modules. Employee access may be priced differently from HR or manager licences. Include permission setup, migration, interfaces, training and support. At contract stage, clarify complete export of required documents and data, charges and continued readability after leaving the system.
| Cost item | Comparison basis |
|---|---|
| Usage fees | Employees, editors, modules and employer entities |
| Implementation | Cleaning, migration and permission design |
| Integration | Interfaces, sign-in and ongoing maintenance |
| Operation | Training, support and workflow changes |
| Exit | Export format, documents and handover charges |
Prepare a useful enquiry
State headcount, required modules, existing systems and intended start. Add key approval steps, sites, employer entities and language needs in one brief. Real applications, appraisals, medical certificates and personnel files are unnecessary. Demonstration, pilot, migration and phased introduction can then be agreed with named responsibilities.
Frequently asked questions
Is a digital personnel file enough?
It may meet filing needs. Recruitment, approvals and payroll are separate requirements to check.
Are employee portals and HR licences identical?
Not necessarily. Rights, functions and charging bases can differ by role. Ask to see both views.
Must payroll software be replaced?
No. A suitable connection can preserve it. Clarify the system of record and supported interface.
How long can personnel files be retained?
Set this by category, purpose and concrete legal requirements. One period for every file is not a useful standard.
Is cloud HR automatically compliant?
No. Contract, processing locations, access, security and subcontractors must fit the actual processing.
What documents are needed initially?
Headcount, processes, systems and timing are sufficient. Describe roles and workflows without real applications or personnel files.
