Event security: plan the service and costs
Event security needs a clear assignment and coordinated responsibilities. Visitor flow, venue and timing matter as much as duties. Planning and actual delivery should be reviewable together.
Separate planning and delivery
The assignment may include a concept, staffing plan, admission, supervision and incident support. An existing concept does not mean a team has been booked. Separate planning from actual services during the event.
Security, medical support, fire safety, traffic and event organization have different roles. A provider can coordinate without automatically taking every responsibility. Define the lead and interfaces early.
| Component | Define scope |
|---|---|
| Concept | Assessment and coordination |
| Admission | Posts, tickets and rules |
| Supervision | Zones and visitor flow |
| Incident | Communication and assistance |
Describe attendance and the venue
State the planned peak simultaneous attendance, not just tickets sold or daily entries. Event type, indoor or outdoor areas and multiple zones affect planning. An initial quote does not need a named guest list.
Admission peaks, queues and the end of the programme may need more attention than average attendance. A uniform guards-per-visitor ratio cannot replace assessment of the venue, flows and conditions.
Define admission and checks
Describe entrance points, ticket checks, direction and supervised areas. Bag checks, age checks or special admission rules are distinct duties requiring lawful arrangements and clear limits.
Define decisions for missing tickets, conflicts or overcrowding and how other services are notified. Access equipment and ticket sales are not automatically included. Control structures must preserve access and escape routes.
Cover the whole assignment period
Distinguish event duration from security staff working time. Setup, early admission, closing, dismantling and overnight guarding may add hours. Allocate tasks and times for multi-day events.
Staffing follows duties, venue and flow. Ask for posts, shifts, break cover and supervision. Changes to attendance, programme or venue need reassessment before starting.
Coordinate conditions and incident procedures
Check required permits and concepts with the responsible authority. Requirements vary by municipality and event. A security contractor replaces neither organizer responsibility nor a necessary authority decision.
Alarm, communication and evacuation arrangements need to fit participating services. Share confidential plans selectively later. The initial enquiry needs no vulnerability plans or guest data; describe known conditions generally.
Compare equivalent delivery plans
Compare planning, supervision, hours, equipment and logistics for the same event. A low rate may cover fewer posts or less time. Nights, minimum shifts and changes affect totals.
Allocate induction, radios, control equipment, reports and debriefing. Separately contracted medical, traffic and guarding services belong in the overall comparison. A uniform Swiss per-guest price is unreliable without a matching scope.

| Equipment | Radios and control equipment |

Enquiry, briefing and debrief
State event type, peak attendance, venue and time frame. Select services and add entrances or specifics in one brief. You need not calculate the required team yourself.
Before the event, brief responsibilities, communication and responses. A factual review of deviations and workload helps the next event. Check changes against the agreed plan.
Frequently asked questions
How many guards do I need?
It follows duties, flows, venue and conditions; no universal attendance ratio is promised.
Does a concept book a team?
No. Concept, staffing and coverage times need explicit agreement.
Which attendance figure matters?
Planned peak simultaneous attendance; explain arrival peaks and daily entries in the brief.
Who remains responsible for the event?
The organizer or responsible organization; providers and authorities have distinct roles to coordinate.
Are medical and traffic services included?
Only if specified. Check these services and interfaces separately.
Must I upload plans or guest lists?
No. An initial description is enough; confidential plans and necessary data are handled securely later.
