Document shredding: define the assignment and services
This service covers protected collection and shredding of paper files, binders and documents. A batch that also contains electronic media can remain in one engagement, with separate quantities and methods. For electronic media alone or erasure that preserves hardware, choose data destruction.
Define the assignment
Record shredding goes beyond paper recycling. Agree protection until actual destruction and documented handover. Hard drives, SSDs and optical media in a mixed batch need their own suitable methods. General clearance does not automatically include this protection chain.
A one-off clearance or recurring collection describes frequency. Destruction on site or at a centre is a separate choice. Ask for a combination that suits volume, protection needs and access.
| Need | Clarify in the quotation |
|---|---|
| One-off batch | Total approved quantity, carrying, packing and collection date; do not assume ongoing container rental. |
| Recurring document volumes | Container number and location, access rights, scheduled or on-call collection, rental term and cancellation. |
| On-site destruction | Suitable vehicle access and standing space, attendance and documentation; confirm availability. |
Specify the result
Agree collection, protected transport and the record required. Mobile destruction occurs on site; collected material is processed later at a centre. Records should link the assignment, date, material and agreed process; they do not replace prior approval to destroy.
A collection receipt initially confirms handover. Also agree when records will be destroyed and when the corresponding destruction record will arrive. Container or job numbers can link the stages without reproducing confidential document contents.
| Service | Agreement to make |
|---|---|
| Collection | Containers, protection and handover |
| Destruction | Location and suitable media process |
| Record | Confirm assignment and material traceably |
Prepare the inquiry
Count known binders, boxes or media with units. Describe separate sites and required sorting or packing. Give only the general record type, without names, health information, credentials or document contents.
Describe the scope and available information without copying confidential originals into the first inquiry. Unknown technical details can remain open. Later agree a suitable transfer channel and a person responsible for questions.
Establish whether paper can stay in binders and how covers, metal parts or additional media are accepted. Remove or sort material only as required by the agreed process. A quantity list helps, but does not establish a reliable weight per binder or box.
Example: “Before our office move, we want a one-off destruction of 60 A4 binders and an additional 12 boxes of paper records. Each box measures about 40 × 30 × 30 cm; the weight is unknown. There is one site on the second floor with a lift. Please quote for carrying, suitable collection containers, pickup and a destruction record, and establish whether binders can be accepted as they are. Electronic media are outside this assignment. Internal approval to destroy will be given before handover; we will agree the date.”
Clarify responsibilities and limits
Check retention needs, original requirements and known litigation holds before approval. The provider may advise on the process but does not automatically decide what you may destroy. Protection must fit the data and media; paper and electronic-media processes are not interchangeable.
For personal data, clarify contractual instructions, protective measures and any subprocessors involved. Outsourcing does not remove your responsibility to select and oversee the provider.
Even after digitisation, destruction of originals needs separate approval; an existing scan alone does not establish that all retention requirements have been met.
Compare costs and billing
Volume, location, sorting, container rental and transport affect the total. Mobile processing may have different minimums and access requirements. Check binders, electronics, waiting and destruction records are included. A kilogram price cannot be compared directly with a box price.
Compare the same service over the same period. Ask for setup, ongoing work, additional effort, expenses and VAT to be shown separately where applicable. Clarify approval of additional work. Without specific information a national price range would be misleading.
For weight-based pricing, establish how weighing works and which materials are charged. For container or box pricing, compare size, permitted filling and included collections. For recurring service, also check fixed fees, minimum terms, unsuccessful collection visits and extra call-outs where applicable.
How the assignment proceeds
Separate approved material from records to retain. Agree containers and collection, document handover and then check the destruction record. For recurring collection define access and removal of full containers.
At handover, reconcile the quantities prepared and container identifiers, recording differences. Then check that the destruction record matches the job handed over and the agreed process. If a batch cannot be reconciled or the record does not arrive, contact the named person; an invoice alone does not confirm actual destruction.
Compare quotations carefully
Check what will actually be delivered and what contribution you must make, as well as price. A low basic fee can be offset by extras or missing services. Give every provider the same requirements.
| Check | What the quotation should explain |
|---|---|
| Scope | Paper and additional media, quantities with units, carrying, sorting and packing |
| Cooperation | People responsible for approval, handover and questions; customer tasks and provider services |
| Billing | Weight or container basis, minimums, rental, collection, destruction record, extras and VAT |
| Protection chain | Access, transport, any interim storage, destruction location and agreed record delivery date |
Checklist before starting
Clarify these points before collection.
- Approval. Check retention and holds
- Material. Describe paper and media
- Record. Document handover and destruction
Frequently asked questions
Must I choose a security level myself?
No. Give general confidentiality needs and known requirements. The specialist should explain the process without asking for confidential content.
Does disposing of a computer securely destroy a deleted file?
Not automatically. Media need a checked erasure or destruction process with agreed scope and evidence.
Do I need complete records first?
No. Explain what is available and what remains to be clarified. Records needed for the actual work are agreed later.
Should I include confidential content in the inquiry?
No. A brief description of the need is enough. Credentials, complete customer files and information about third parties belong in a later agreed protected exchange.
Is the commissioned service free?
The free quotation inquiry does not replace a fee proposal. Agree costs and assignment terms with the selected provider.
How is the timetable agreed?
Give any known date and explain its significance. The provider must check capacity, necessary information and dependencies; an inquiry does not yet confirm a delivery date.
