Computer workstations: equipment, setup and acceptance
A working station is more than a computer. Applications, sign-in, display connections and the existing network must work together. A clear list separates hardware purchase from configuration and later support.
Start with actual work
Office tasks, video calls, large files and specialist applications have different needs. Requirements of the software actually used are more useful than a generic performance class.
Distinguish personal, shared and mobile workstations. Existing equipment may be retained when performance, condition and support suit the intended use.
Check equipment as a complete combination
List known models and the desired number of displays. A fitting connector alone does not guarantee video output or adequate charging. Have computer, dock, cables and displays checked together.
| Component | Check |
|---|---|
| Computer | Operating system, software requirements and needed ports |
| Displays | Number, resolution and connection options |
| Dock and cables | Compatibility, charging and video transmission |
| Input and audio | Keyboard, mouse, headset and existing workspace |
Prepare accounts, licences and network
Confirm that work accounts, licence rights and internet access are ready before setup. Automated deployment also needs compatible systems, licences and reachable services. It is not independent of the environment.
Explicitly include enrollment into existing management. The responsible IT team handles technical permissions; passwords do not belong in a quote request. New networking or cabling should be separately scoped.
Define data transfer for replacements
Agree which local files, settings and applications should be taken over. Cloud files, local archives and specialist programs may need different steps.
Check a usable backup before replacement. Hand over or erase the old device only after acceptance and agreed data handling. Copying files does not validate every application.
Pilot and stage the setup
For several workstations, a representative configuration exposes missing apps, connection problems and sign-in barriers before a wider rollout.
- Requirements. Record quantities, programs and existing accessories.
- Pilot. Fully set up and test a representative workstation.
- Rollout. Coordinate delivery, setup and data transfer in agreed stages.
- Acceptance. Test real tasks with users and hand over documentation.
Compare equivalent packages
Check total scope and separately charged work. Delivery, on-site setup, accessories, licences and support may sit outside a hardware price. A comparison is meaningful only with equivalent services.
| Cost item | Check in the quote |
|---|---|
| Hardware | Exact models, accessories, delivery and warranty service |
| Setup | Accounts, programs, updates and device management |
| Transfer | Which files and settings are included? |
| Follow-up | User guidance, fault correction and later support |
Check technology and the workspace
Test sign-in, applications, printing, video calls and all required displays. For prolonged laptop use, consider suitable input devices and display positioning. Furniture remains a separate service scope.
- Functions. Actually try normal tasks and connections.
- Handover. Document inventory, licence assignments and support contact.
- Old devices. Agree return, data handling and disposal explicitly.
Frequently asked questions
Must new hardware be purchased?
No. Configuring or adding to existing equipment can be suitable when compatibility and support match.
How should performance be specified?
Name concrete applications and work tasks so the provider can recommend suitable specifications.
Does every USB-C dock work?
No. Check models, port functions, displays and power supply together.
Is data transfer included?
Only when its scope and source are agreed. Mention local files and specialist applications.
Can setup be performed remotely?
Partly. Physical connections, supplied equipment and network access may require on-site work.
Is ongoing support automatically included?
No. Setup, user guidance and ongoing support should be separate quote items.
