Plan conservation around materials, use and priorities
Conservation may cover an entire collection, damaged objects or digital holdings. Define the purpose: prevent damage, assess a collection, stabilise selected items or keep content accessible. Restoration does not automatically return every object to an assumed original condition. Materials, extent, visible problems and future use allow quotes to address the same commission.
Define the task before the method
A collection plan, treatment of items and a digital preservation strategy are different commissions. Where condition is uncertain, a bounded assessment can establish priorities. Ask for reasons for the approach and intervention level before prescribing treatment.
| Purpose | Work to define |
|---|---|
| Prevention | Storage, packaging, handling and checks |
| Treatment | Examination, intervention and documentation |
| Digital preservation | Formats, integrity, metadata and usable handover |
Describe materials and extent
Identify paper and books, photographs, audiovisual carriers, artworks, textiles or files. Selected items need an exact count; large holdings may also be described in metres, containers or identifiable files and data volumes. Do not add unlike units. One overview can allocate mixed collections and priorities.
Separate observations from urgency
Describe tears, distortion, dirt, moisture or unreadable files without diagnosing materials. Active water ingress or suspected mould needs direct specialist clarification. Agree protection and safe handling before transporting, cleaning or opening fragile items.
Consider use and storage together
Frequent use, exhibition, loans and transport can require different solutions from closed storage. Packaging and climate depend on materials; one temperature or humidity setting is not universal. Define included checks, staff training and incident planning.
Distinguish digitisation from digital preservation
A use copy can reduce handling of originals without replacing their conservation. Agree formats, metadata, integrity checks, access and later transfer separately for digital holdings. Another copy alone is not a complete preservation plan. Describe systems broadly without credentials or confidential content in the initial request.
For digital holdings, this service focuses on preserving content over time. Routine file storage and retrieval belong to archive operations. The tasks can complement each other; define preservation and day-to-day management separately in the commission.
Compare costs by identifiable work packages
Examination, pilot treatment, batch work, materials, transport and documentation may be separate costs. Compare the same holdings and purpose. An initial paid assessment may precede an undefined treatment: specify its output, cost and decision on further work. Unit prices for unrelated object types do not form a useful average.
| Quote item | Check |
|---|---|
| Treatment scope | Which items and interventions are included? |
| Additional costs | Are materials, packaging and transport specified? |
| Handover | Are condition records, materials used and care advice included? |
Agree decisions and ongoing care
Set a contact, priorities and approval of proposed treatment. For protected or publicly managed holdings, clarify relevant authorities and project conditions. Documentation should explain initial condition, work and remaining limits. Agree safe return, follow-up and care rather than expecting unlimited lifespan.
Frequently asked questions
Is conservation only restoration?
No. Prevention, examination, stabilisation, use copies and digital preservation can be separate tasks.
Must I identify materials myself?
An understandable object description is enough initially. A suitable specialist performs the detailed assessment.
What is needed for a request?
Type, purpose, known quantity, visible condition, use, location and timing, without confidential original content.
Is there one universal storage climate?
No. Materials, condition and use determine the solution; one institution’s settings are not universal.
Does digitisation replace the original?
Not automatically. A use copy, conservation of the original and sustained digital access are separate goals.
How are newly discovered problems handled?
Approve additional assessment and interventions with costs and timing before expanding scope.
