Cloud office suite: setup, migration and ongoing costs
A cloud suite combines office applications, communication and shared files. Selection depends on working practices, existing accounts and useful features. A licence alone transfers neither old data nor access rights.
Distinguish setup from migration
A new setup creates accounts, roles and shared spaces. A migration also handles previous data, addresses and working practices. Optimisation reviews a suite already in use.
Name the required areas: email, calendar, files, joint editing or meetings. A larger subscription need not become a prerequisite.
Inventory data and rights separately
Email transfer does not automatically include contacts, calendars and tasks. Folder permissions, sharing links and chat histories also need separate review. Obtain written transfer boundaries.
| Area | Clarify before switching |
|---|---|
| Email and calendar | Mailboxes, shared addresses and appointments |
| Files | Filing, volume, owners and permissions |
| Collaboration | Guests, groups and existing links |
| Sign-in | Accounts, roles and required devices |
Organise accounts and collaboration
Define people needing accounts and shared workspaces. For external partners, establish appropriate permissions, time limits and owners.
Check sign-in on existing devices and access outside the office. Keep administrative rights controlled; do not include secrets in a quote request.
Clarify data responsibility and retention
Review personal data, confidential content, processing locations and subcontractors. A cloud subscription does not remove the business’s responsibilities.
Synchronisation and version history do not replace every necessary backup or retention measure. Clarify recovery, deletion and future export.
Prepare a controlled switch
The available method must suit source, target and current product limits. Plan possible interruption and help when work resumes.
- Inventory. Accounts, data types, permissions and existing applications.
- Pilot. A representative mailbox and file space with access checks.
- Switch. Agree the window, final changes and fallback arrangements.
- Accept. Check mail flow, calendars, files, rights and devices together.
Compare project costs and subscriptions
Compare the same features and account counts. Storage, backups and support may be separate. Old and new services may both be billed during transition.
| Cost item | Check the quote |
|---|---|
| Setup / transfer | Included data types and corrective work |
| Licences | Features, accounts and contract term |
| Extra services | Storage, backup and external connections |
| Support | Training, scope and billing |
Prepare ongoing operation and exit
Handover should cover contacts, rights management and traceable changes. Agree when old accounts can be shut down.
- Use. Staff understand filing, sharing and contact routes.
- Evidence. Transfer limits and open issues are documented.
- Exit. Export, contract end and deletion confirmation are defined.
Frequently asked questions
Must I select a suite first?
No. Describe work and current systems so suitable options can be compared.
Will all old content transfer?
It depends on source, target and method. Clarify each data type and known exclusions.
Is a shared address an individual account?
Not always. Features and licensing determine the arrangement; distinguish the two in planning.
Is an interruption-free switch guaranteed?
No. Testing, timing and fallback must fit the actual environment.
Is training useful?
An introduction helps with new filing or sharing practices; include training and support scope in the quote.
What determines costs?
Features, accounts, transfer work, additional services and ongoing support.
