Call centre: define the assignment and services
An outsourced customer service answers agreed questions, records orders or complaints and escalates difficult cases.
Define the assignment
Answering a phone is narrower than handling a case through closure. Outbound sales calls are a separate assignment.
Specify the result
Define responses that can be given independently and decisions kept internally. Assign responsibility for updating information. Separate response time from resolution time: a quick acknowledgement is not a solution.
| Service | Agreement to make |
|---|---|
| Information | Approved answers and updates |
| Complaint | Separate logging, decisions and feedback |
| Escalation | Responsible team and available cover |
Prepare the inquiry
Give known daily contacts, peaks, common issues and languages. A monthly average can hide bursts. Describe the ticket system and response templates; an anonymised case type is enough for the first inquiry.
Describe the scope and available information without copying confidential originals into the first inquiry. Unknown technical details can remain open. Later agree a suitable transfer channel and a person responsible for questions.
Clarify responsibilities and limits
Refunds, contract changes and commitments need defined authority. The provider must know when to involve specialists. Check access, processing locations and subprocessors. Call recording is not automatic and requires separate legal and organisational clarification.
Compare costs and billing
Check base fees, contact or minute charges and follow-up work. Clarify extras for transfers, repeat contacts, weekends, training and integration. Compare volumes and handling depth together; a short call differs from a complex complaint.
Compare the same service over the same period. Ask for setup, ongoing work, additional effort, expenses and VAT to be shown separately where applicable. Clarify approval of additional work. Without specific information a national price range would be misleading.
How the assignment proceeds
Test greetings, answers, ticket handover and escalation with fictional cases. Then agree a limited initial operating period. Review understandable samples and unresolved cases before adding channels or hours.
First discuss the objective, scope and responsibilities. The quotation then records services, assumptions and exclusions. Check an agreed first stage before substantial further work starts. At completion record the result, unresolved matters and handover; changes need an agreed approval process.
Compare quotations carefully
Check what will actually be delivered and what contribution you must make, as well as price. A low basic fee can be offset by extras or missing services. Give every provider the same requirements.
| Check | What the quotation should explain |
|---|---|
| Scope | Included work and expressly excluded tasks |
| Cooperation | Contact person, questions and approvals |
| Billing | Charging basis, extras and terms for additional work |
| Service hours | Agreed coverage, exceptions and response target |

Frequently asked questions
Is technical support included?
Only within the agreed scope. Initial logging and simple instructions do not replace specialist repair or IT work.
Must I outsource every channel at once?
No. You can delegate selected channels or peak periods. Responsibilities and handover between teams must be clear.
Do I need complete records first?
No. Explain what is available and what remains to be clarified. Records needed for the actual work are agreed later.
Should I include confidential content in the inquiry?
No. A brief description of the need is enough. Credentials, complete customer files and information about third parties belong in a later agreed protected exchange.
Is the commissioned service free?
The free quotation inquiry does not replace a fee proposal. Agree costs and assignment terms with the selected provider.
How is the timetable agreed?
Give any known date and explain its significance. The provider must check capacity, necessary information and dependencies; an inquiry does not yet confirm a delivery date.
