Business domiciliation: define the assignment and services
A domicile address lets a business be reached. It differs from a desk, meeting room and legal seat.
Define the assignment
Clarify whether you need a registered domicile, additional correspondence address or change of address. Renting a mailbox does not automatically resolve registration and tax questions.
Specify the result
The agreement should establish the usable address, intended registration and necessary domicile-holder declaration. Define receipt, notification, collection and forwarding. For scans agree opening permission, transmission and original handling. Office and telephone services are included only when expressly agreed.
| Service | Agreement to make |
|---|---|
| Address | Use, reachability and registry evidence |
| Mail types, frequency and originals | |
| Rooms | Agree desks or meeting rooms separately |
Prepare the inquiry
Give legal form, formation or change needs and business count. For mail, known monthly volume and Swiss or foreign destination help. Add alternative locations, parcels or time-sensitive correspondence. Identity and registry documents are agreed later using a suitable channel.
Describe the scope and available information without copying confidential originals into the first inquiry. Unknown technical details can remain open. Later agree a suitable transfer channel and a person responsible for questions.
Clarify responsibilities and limits
A registered domicile requires actual reachability. A c/o address needs a domicile-holder declaration for registration; the responsible office examines the case. Omitting c/o or adding a nameplate alone does not prove an own office. Clarify seat changes, tax matters and banking requirements separately. Mail deadlines and secure forwarding remain operational concerns.
Compare costs and billing
Compare address and mail service over the full term. Setup, registry changes, forwarding, postage, packaging, scan limits and room use may cost extra. Clarify minimum term, advance payment, cancellation and renewal. A cheap basic address may have different total costs with frequent foreign forwarding.
Compare the same service over the same period. Ask for setup, ongoing work, additional effort, expenses and VAT to be shown separately where applicable. Clarify approval of additional work. Without specific information a national price range would be misleading.
How the assignment proceeds
Check location and suitability for the business first. Then agree contract, declaration and any registry action. Establish a responsible contact, mail rules and protected exchange. Check the process with an agreed first item. On termination, address changes, forwarding and retained originals need a managed transition.
First discuss the objective, scope and responsibilities. The quotation then records services, assumptions and exclusions. Check an agreed first stage before substantial further work starts. At completion record the result, unresolved matters and handover; changes need an agreed approval process.
Compare quotations carefully
Check what will actually be delivered and what contribution you must make, as well as price. A low basic fee can be offset by extras or missing services. Give every provider the same requirements.
| Check | What the quotation should explain |
|---|---|
| Scope | Included work and expressly excluded tasks |
| Cooperation | Contact person, questions and approvals |
| Billing | Charging basis, extras and terms for additional work |
| Mail and contract | Explain postage, scan limits, deadlines and termination |
Checklist before starting
Record these before using the address.
- Use. Clarify c/o and premises from the actual agreement
- Mail rules. Agree opening, scanning, originals and time-sensitive mail

Frequently asked questions
Is a desk automatically included?
No. An address and usable premises are different services. Agree use rights, hours and costs separately.
Are postage and forwarding included in the basic price?
It depends on the contract. Check destination, frequency and extras without assuming free dispatch.
Do I need complete records first?
No. Explain what is available and what remains to be clarified. Records needed for the actual work are agreed later.
Should I include confidential content in the inquiry?
No. A brief description of the need is enough. Credentials, complete customer files and information about third parties belong in a later agreed protected exchange.
Is the commissioned service free?
The free quotation inquiry does not replace a fee proposal. Agree costs and assignment terms with the selected provider.
How is the timetable agreed?
Give any known date and explain its significance. The provider must check capacity, necessary information and dependencies; an inquiry does not yet confirm a delivery date.
