Bicycle repair: define the fault, parts and handover

A puncture, poor gear changes and a failed e-bike drive need different work. Bicycle type, model and symptoms are more useful for a quote than a guessed diagnosis. Define repairs, maintenance and possible extras before parts are ordered or replaced.

Describe the problem without diagnosing it

Explain when the problem occurs: shifting, braking, under load, after a crash or after storage. A visible error message may help. You do not need to identify the faulty component or select a repair method.

Maintenance includes agreed checks and adjustments; repair addresses a specific defect. Both may be combined but should remain identifiable in the quote. After a crash, potential damage needs assessment before confirming further use.

Provide bicycle type, model and drive system

City, mountain, road, folding and cargo bikes may have different components and workshop needs. Give the make, model and known equipment. For several bicycles, give the exact number and details for each in one description.

For an e-bike, the drive manufacturer and known system name help. A mechanical fault differs from a motor, battery or display problem. If you do not know the system, have it identified from the bicycle model.

Define mechanical work and parts

Distinguish adjustment, wear-part replacement and more extensive repair. Brake type, transmission, tyre system and existing components affect parts and labour. Unknown technical dimensions can be checked at the bike.

Tyres and tubesAffected wheel, existing system and whether materials are included.

Wheels, bearings and suspensionWork scope, parts and any specialist work.

Separate e-bike diagnosis from mechanical work

Check whether the workshop supports the fitted system and can carry out appropriate diagnosis. General bicycle servicing does not automatically include electrical investigation, software work or battery replacement. A displayed error is a clue rather than proof of a faulty battery or motor.

Ask which existing system components to bring for investigation. The workshop should explain repair or replacement options under manufacturer conditions. Do not open or modify the battery casing yourself to prepare a first inquiry.

Request suitable transport or mobile work

Say whether the bike rolls, needs transport or should be assessed on site. With faulty brakes or uncertain damage, riding to the workshop is not a suitable assumption. Mobile work depends on the task, parts and site and does not automatically cover every specialist repair.

Give the actual location and access for collection or on-site work. Cargo and other large bicycles may need more space and suitable transport. Agree travel, collection, return and expected timing explicitly.

Compare the work rather than a package alone

A low-priced check may exclude parts or the actual repair. Check the included work and when extra charges require your approval. Diagnosis may be charged separately even if a different solution is agreed afterwards.

Prepare and document completion

Describe any customer-supplied parts before commissioning work. The workshop must confirm suitability and installation terms. At return, completed work, settings and remaining defects should be explained clearly.

  • Gather details. Note number, bicycle type, model, drive and symptoms.
  • Define scope. Separate maintenance, repair and electrical diagnosis.
  • Plan handover. Agree workshop drop-off, collection or mobile work and access.
  • Confirm the quote. Check parts, labour, extra approvals and timing together.
  • Collect the bike. Review the outcome, work record and unresolved points.

Frequently asked questions

Do I need to know which part is faulty?

No. Describe symptoms and when they occur. The workshop can perform the technical assessment.

Can I request work on several different bicycles?

Yes. Give the exact number, models and work needed for each in one description.

Is e-bike diagnosis automatically included?

No. Confirm system support and investigation scope. Electrical diagnosis and mechanical maintenance may be separate items.

Can the bicycle be repaired on site?

If offered and suitable for the job. Tools, parts or extensive work may require a workshop visit.

What if the bicycle may be unsafe to ride?

Discuss transport or collection and describe its condition. A repair inquiry does not confirm it is safe to ride to the workshop.

Can I have my own parts used?

With prior agreement after checking compatibility, completeness and installation terms.
